Logistics Coordination Executive (Pharma/ Supply Chain 3PL/ Tuas)

Job Summary: Key internal coordinator between company's 3PL partners, Quality Assurance (QA) team, planning teams, and manufacturing site — ensuring that materials are released, planned, and delivered on time to support uninterrupted manufacturing operations. Ensure that every inbound and outbound material movement — whether raw materials, finished pharmaceuticals, or critical consumables — is tracked, documented, and delivered in full compliance with company's quality and regulatory standards. Your work spans material release coordination with QA, delivery planning and scheduling to the manufacturing site, 3PL performance oversight, issue resolution, and documentation compliance — all contributing directly to manufacturing continuity, regulatory compliance, and company's mission to improve patients' lives around the world.
Responsibilities Serve as the primary internal point of contact between company's 3PL partners, QA team, planning teams, and manufacturing site for all material movement activities Coordinate with company QA on material release approvals prior to delivery to the manufacturing site Liaise with planning and manufacturing teams to align material delivery schedules with production requirements Communicate proactively with internal stakeholders on material status, inbound shipment updates, and any delays or disruptions Standby to support urgent materials requests whenever required
Material Release & Delivery Planning Coordinate with company QA to track and follow up on material release status, ensuring timely approvals to meet manufacturing schedules Plan and schedule material deliveries from the 3PL warehouse to company's manufacturing site in alignment with production plans Process inbound and outbound material transactions in SAP with accuracy Ensure timely and precise data entry for material orders, shipments, and returns Coordinate with 3PL warehouse teams for order picking, packing, and dispatch to manufacturing Work with carriers and freight forwarders to arrange transportation, pickups, and deliveries Monitor material availability, fulfilment rates, and service levels to ensure smooth manufacturing operations Provide the weekly forecasted material delivery plan to the Warehousing, Logistics, and Manufacturing teams
Issue Resolution and Problem Solving Investigate and resolve discrepancies related to material shipments, inventory shortages, and order errors Escalate operational issues such as damages, delays, held materials, or misrouted shipments to the appropriate internal teams Collaborate with 3PL and internal teams to implement corrective actions and prevent recurrence of issues
Documentation and Compliance Prepare and maintain shipping documents, receiving checklists, invoices, customs paperwork, and delivery confirmations Ensure compliance with company's internal requirements, GMP/GDP regulatory standards, and company policies Assist in processing claims, returns, and damaged goods documentation Review and verify documentation accuracy before submission Maintain and archive documents in an organized and compliant manner
Additional Responsibilities Support general logistics operations, including Facility Management Work Orders, Safety Observations, and Inventory Tracking and Updates Perform other duties as assigned to support operational efficiency
HSE Participate in the set-up and follow-up of internal standard procedures to enhance productivity and transparency Maintain acceptable Health, Safety, and Environmental risk levels in area of responsibility Ensure compliance with applicable legal requirements
Requirements Diploma or equivalent in Logistics, Supply Chain, Business Administration, or a related field Experience working with Warehouse Management System (WMS) and SAP At least 1–5 years of experience in logistics coordination, supply chain, or 3PL environment Experience coordinating with QA teams on material release processes in a pharmaceutical or regulated manufacturing environment Able to independently process material orders, manage shipment transactions, and generate reports in SAP (SD/MM modules) Comfortable with data entry, VLOOKUP, pivot tables, basic formulas, and spreadsheet management for material tracking and reporting Excellent internal stakeholder management and cross-functional coordination skills Ability to coordinate with QA teams on material release processes and follow up on approval timelines Understanding of manufacturing supply chain, material planning, and production scheduling Detail-oriented to ensure accuracy in material processing and documentation Understanding of logistics operations, including warehousing, transportation, and customs processes Ability to standby and respond to urgent materials requests outside of regular working hours when required
