Project Admin Coordinator
We are seeking a highly organized and proactive Project Admin Coordinator to support day-to-day project operations by coordinating documentation, tracking progress, managing communication, and ensuring smooth administrative workflow across project teams. You will play a central role in ensuring smooth site operations and efficient resource management.
Key Responsibilities
- Project Coordination
- Support project team lead and engineers with scheduling, progress tracking, and follow‑ups.
- Liaise with contractors, suppliers, and internal teams to ensure smooth communication and timely resolution of issues.
- Assist in procurement coordination, including preparing purchase requests, and tracking deliveries.
- Workforce Scheduling & Site Deployment
- Plan and schedule manpower for construction, engineering, and maintenance works.
- Coordinate daily deployment of technicians, subcontractors and service providers.
- Track site teams movements and arrange last‑minute manpower changes.
- Ensure manpower allocation complies with project timelines, safety requirements, and client expectations.
- Liaise with site supervisors and engineers to resolve any scheduling conflicts
- Procurement & Supplier Coordination
- Source and evaluate quotations for materials, tools, equipment, and services.
- Prepare purchase requests and follow through on procurement approvals.
- Maintain vendor records, and procurement documentation.
- Coordinate delivery schedules to ensure materials reach worksites on time.
- Stakeholder Communication
- Provide timely updates to clients and internal stakeholders.
- Highlight operational risks, delays, or resource gaps and propose mitigation actions.
- Support risk assessment, method statements, site clearance documentation and audit findings.
Requirements
- Minimum Higher Nitec or Diploma holders, or experience in related fields.
- Preferably 2–3 years of administrative experience in construction, engineering services, or facilities/maintenance operations. Relevant training will be provided.
- Proficient in MS Office (Excel, Word) and scheduling tools.
- Excellent coordination, planning, multi-tasking, resourceful and able to anticipate project needs.
- Familiarity with procurement processes and basic technical terminology.
- Detail‑oriented, organized, and able to work independently in a fast‑paced environment.
- Good communication, problem solving skills and customer service mindsets.
