We are looking for LOISIUM offers a position of Floating Receptionist - Reservation Agent (F/M) in CDI to complete its team.

Your main missions

  1. Reservation management:

Taking reservations: Manage incoming calls and emails to take reservations, ensuring an understanding of client needs (room type, dates, particular preferences).

Checking availability: Ensure the follow-up of room availability and optimize reservation schedules.

Modifying reservations: Perform reservation modifications (date changes, cancellations) according to client requests.

Updating reservation systems: Ensure that all information is correctly recorded and updated in the management system.

  1. Client welcome and reception:

Welcoming clients upon arrival: Welcome clients upon their arrival, register their arrival, assign rooms and provide information on hotel services.

Managing departures: Ensure smooth client departures by checking client accounts and processing payments.

Responding to client requests: Provide information on hotel services, answer inquiries and resolve any potential issues.

  1. Call and email management:

Processing requests by telephone and email: Respond to information requests, take reservations or perform follow-ups according to client needs.

Booking extras: Take charge of booking additional services such as transfers or sightseeing tours and other concierge requests.

Communication with other services: Work in close collaboration with the housekeeping service to ensure room availability, the technical service to report any anomaly and the catering service to manage special requests.

Follow-up of special requests: Ensure that specific client requests (baby cot, room near elevators, etc.) are taken into account and properly handled.

  1. Payment management:

Recording payments: Manage the collection of payments upon client arrival and departure, manage security deposits.

Closing accounts: Verify and close client accounts at the end of the stay and provide detailed invoices.

  1. Follow-up of reservations and client requests:

Follow-up of pending reservations: Manage waitlisted reservations and propose alternatives to clients if necessary.

Overbooking management: In case of overbooking, manage alternative solutions (reservation modification, searching for external solutions).

  1. Use of management tools:

Mastery of Opera Cloud tools and online reservation platforms (Booking.com, Expedia, etc.) to manage reservations and optimize the hotel's occupancy rate.

  1. After-sales service:

Complaint management: Respond to client concerns during their stay, resolve problems efficiently and courteously.

Satisfaction follow-up: Perform follow-up calls after client departure to gather feedback on their experience and manage any dissatisfaction.

Profile sought: Experience and training: Experience: Initial experience in a similar position at reception. Motivated beginners eager to learn are also welcome.

Training: Minimum Bac+2 in hospitality, tourism, or management (type BTS Hôtellerie-Restauration, DUT, or other equivalent training).

Technical skills: Mastery of IT tools: Good knowledge of OPERA CLOUD, online reservation platforms (Booking, Expedia, etc.), and office tools (Word, Excel).

Languages: Mastery of English is indispensable, and another foreign language (Spanish, German, etc.) would be a plus.

Human qualities: Customer service mindset: You are attentive to clients, reactive and able to anticipate their needs to offer them a positive experience.

Communication: Excellent communication skills, both oral and written, and the ability to interact with international clients.

Adaptability and versatility: You are able to manage several tasks at once and adapt to different roles depending on the hotel's needs (reception, reservations, call management, etc.).

Dynamism and reactivity: You work effectively in a dynamic environment, managing unforeseen events with calm and efficiency.

Punctuality and rigor: You are organized, reliable and able to respect staggered schedules, including weekends and public holidays, depending on the establishment's needs.
