Job Scope:

  1. Manage the full spectrum of recruitment and the end-to-end employee lifecycle—from job posting and screening, coordinating interviews with HODs, conducting salary negotiations, and preparing employment contracts, to liaising with recruitment agencies.
  2. Handle all work pass-related matters (WP, SP, DP), including new applications, renewals, cancellations, and related administrative compliance and surveys.
  3. Handle monthly payroll processing using Time Software (including overtime calculations via Excel, medical reimbursements, and allowances) and manage CPF submissions.
  4. Process periodic government-paid leave (GPL) claims, National Service (NS) make-up pay claims, and foreign worker levy waivers.
  5. Administer Work Injury Compensation (WIC) and corporate medical insurance policy renewals.
  6. Monitor daily attendance via Time Software, ensuring medical certificate (MC) submissions are updated and tracking No-Pay Leave (NPL) for unconfirmed staff.
  7. Manage onboarding and orientation for new hires, probation tracking, performance and confirmation appraisals, and oversee offboarding processes including tax clearance.
  8. Handle all employee relations matters, including managing complex cases related to terminations, resignations, and retirements.
  9. Draft and issue all HR-related administrative documents, such as internal memos, promotion letters, confirmation letters, probation extensions, warning letters, and performance improvement plans (PIPs).
  10. Maintain accurate, up-to-date, and strictly confidential employee personnel files and data records.
  11. Source, coordinate, and manage employee training course bookings, while following up closely with the Accounts department on payment processing.
  12. Prepare sponsorship letters, records, and related tracking.
  13. Monitor, manage, and issue employee uniforms and safety shoes.
  14. Maintain and update internal administrative records, including the company organization chart and staff telephone lists.
  15. Coordinate and manage company transportation logistics and related payments.
  16. Provide active support for company events, assisting the existing committee with the annual D&D held in April.
  17. Assist with the annual company stocktaking exercise conducted every July (on Friday).
