*Part-time Administrative Assistant*

*DURATION: *10 Month (September to June)

Position Overview

  • *Job Title:* Part-Time Administrative Assistant
  • *Reports To:* Director of Operations
  • *Type:* Part-Time 10-15 hours per week
  • Independent school setting requires warmth, discretion, and independent organization.

Key Responsibilities

Reception and Communication

  • Greet students, parents, and visitors with a warm, professional demeanor at the front desk.
  • Answer, screen, and direct incoming phone calls and general school emails.
  • Sort and distribute daily mail, packages, and internal correspondence.

Student and Staff Records

  • Assist with the maintenance of accurate student enrollment files, attendance tracking, and data systems.
  • .Assist with computer systems, updates and attendance
  • Assist with new student registrations and records requests.

Office Management and Support

  • Monitor and order routine office supplies and instructional materials.
  • Update the school calendar, announcements,handbooks and other correspondence.
  • Provide basic bookkeeping support.

Qualifications

  • Minimum *- *High school diploma required; post-secondary certification in office administration or secretarial work in a school setting preferred.
  • Experience: Minimum 2 years of general office experience, ideally within an educational or independent school environment. Certification in general office administration is required.
  • Skills: Proficiency in standard office software (Microsoft Office, Google Workspace) and school data management systems.
  • Bookkeeping and accounting experience is an asset;
  • Minimum net keyboarding speed 50 wpm (copy of certified supervised typing test required);
  • Proven intermediate to advanced computer skills to accurately and efficiently utilize word processing, spreadsheet, database and communications software;
  • Ability to organize and prioritize a wide range of duties effectively and efficiently, and to work accurately under pressure at a high level of quality with constant disruptions;
  • Exceptional interpersonal skills and the ability to communicate effectively, both orally and in writing, with students, employees, and the public;
  • Demonstrated ability to work at the level of independence and with the degree of initiative appropriate to the position.
  • Exceptional interpersonal communication, acute attention to detail, and a strict commitment to student data privacy and confidentiality.

Pay: From $19.76 per hour

Expected hours: 13.0 per week
