Admissions Administration Officer
Key Responsibilities:
Admissions Operations:
Serve as the first point of contact for inquiries via email, phone, and in person.
Assist prospective families throughout the admissions process, including scheduling tours, assessments, and interviews.
Assist with processing applications and supporting documentation, ensuring confidentiality and compliance with PDPA and school policies.
Support the setup and running of admissions events such as Open Days, Assessment Days, and Parent Info Sessions.
Communication & Call Center:
Operate the Admissions Call Center to manage inquiries efficiently and professionally.
Provide clear, courteous, and timely responses to prospective parents via phone, email, and walk-in visits.
Escalate complex queries to the Director of Admissions or other relevant departments when necessary.
School and Student Documentation:
Prepare, update, and organize key admissions documents such as offer letters, enrolment forms, and student profiles.
Ensure that student files are complete, properly stored, and accessible for relevant school personnel.
Coordinate with the academic and pastoral teams to ensure smooth onboarding of new students.
Data Entry and Reporting:
Record and maintain detailed records of applicant status and admissions outcomes.
Generate reports and statistics for the Admissions team and senior leadership as requested.
Ensure data accuracy and timely system updates during application cycles and annual rollovers.
Collaboration & Support:
Liaise with the finance, academic, and marketing teams to support the admissions and onboarding processes.
Assist in the preparation of welcome packs and orientation materials for new families.
Provide administrative support to the Director of Admissions and wider team as needed.
Qualifications: Bachelor’s degree in any field. Strong interpersonal and customer service skills with a professional and friendly approach. Detail-oriented with strong organizational and time-management abilities. Confident in using digital tools and systems such as CRM, admissions platforms (e.g., Open Apply), and Microsoft Office Suite. Ability to work with flexibility in a fast-paced, team-oriented environment with discretion and cultural sensitivity.
