People Coordinator
Role Summary and Key Outcomes The People Coordinator provides day-to-day support to the People team and is a first point of contact for queries in the helpdesk. Combining administrative and advisory support, the role is integral to maintaining accurate employee data, compliance records and smooth people processes across our nurseries, with occasional support on employee relations and absence cases. Core Responsibilities and Critical Tasks Act as a first point of contact for people queries, providing timely and accurate first-line advice on policies, processes and procedures, and escalating where a query is complex or carries higher risk.
Support and coach line managers on day-to-day people practices, including absence management, in line with guidelines, employment law and best practice.
Provide advice on assigned employee relations and absence cases, including short-term absence, return-to-work conversations and informal conduct or attendance matters, keeping records up to date and escalating more complex or formal cases to a People Advisor.
Support People Advisors with formal employee relations processes (investigations, disciplinaries and grievances), including note-taking, drafting correspondence and maintaining case files.
Prepare and process employee lifecycle documentation, including contracts, contract changes, flexible working requests, family-related leave, references and leavers, and support the exit interview process.
Support onboarding and offboarding, including issuing employment contracts and supporting colleagues with references, DBS checks, right to work and suitability checks in line with Safer Recruitment.
Monitor system notifications and compliance records, including right to work, visas, DBS, National Living Wage increases and changes of details, ensuring managers are notified of expiries in good time and we remain compliant.
Ensure employee data is accurate, up to date and aligned across all people systems, auditing data quality regularly and flagging inconsistencies.
Produce and distribute regular people reports, including absence and compliance data, to inform key business decisions.
Provide user support across the HRIS, helping managers and colleagues to use it effectively.
Contribute to process improvement projects, the development of workflows, and employee experience and wellbeing initiatives, coordinating key people actions.

Travel to HQ and nurseries as required.
Any other reasonable duties as requested by your line manager.
Qualifications CIPD Level 3 is desirable, but not essential.
A positive approach to gaining further qualifications and CPD.
Knowledge & Experience Previous experience in an HR administration, coordination or advisory support role, ideally in a fast-paced environment.
Good working knowledge of UK employment law and best practice, with the confidence to apply it to day-to-day queries and the judgement to know when to escalate.
Experience of supporting employee relations and absence management, including note-taking and drafting associated documentation.
Experience of managing a high volume of queries and working to Service Level Agreements.
A clear, confident and supportive approach when advising managers and colleagues.
Sound understanding of employment legislation, GDPR, data protection and confidentiality.
Excellent IT skills, particularly in MS Office, and familiarity with HRIS, ATS, LMS and reporting platforms.
A proactive approach to improving processes and adopting technology.
Excellent organisational ability, attention to detail is paramount.
Strong communication skills at all levels both written and oral.
Ability to work under pressure, meet deadlines and manage your own workload independently in a remote or hybrid setting.
Key Performance Indicators (KPIs)
SLA adherence on query resolution and administrative tasks (e.g. contracts, changes, leavers)
Accuracy and timeliness of employee data and system updates
Timely and accurate management of ER and absence cases, including documentation
Completion of frequent people compliance checks and audits, with expiries actioned before they lapse
People reports completed and submitted on time
Feedback from managers and People team colleagues on support effectiveness
