*About the Role*
As the Administrative Assistant, you?ll play a key role in supporting the day-to-day operations of the K?ómoks Administration team. You?ll handle a wide range of office and clerical tasks ? from coordinating meetings and taking minutes to setting up community events and troubleshooting office tech. You?ll be the go-to person for making sure things run smoothly behind the scenes.
*What You?ll Do*
- Provide flexible reception coverage, including greeting visitors, responding to inquiries, and supporting front-office operations
- Help organize and maintain paper and digital records, including SharePoint and other administrative systems
- Provide basic support for office and meeting technology, including printers, projectors, webcams, and meeting-room equipment
- Support Council committees through minute taking, agenda tracking, record keeping, and maintaining governance documentation
- Assist with tracking Council motions, action items, meeting follow-up, and related administrative information
- Help coordinate community engagements, staff meetings, department meetings, and other Nation gatherings
- Assist with meeting logistics, including room setup, technology, materials, refreshments, and supplies
- Provide general administrative support including travel arrangements, calendars, filing, and special projects
- Work collaboratively across the Administration team to help keep the office organized, responsive, and running smoothly
*What You Bring*
- Strong organizational, planning, and time-management skills with the ability to manage changing priorities
- Excellent interpersonal, written, and verbal communication skills
- A resourceful approach, sound judgment, and the ability to take initiative
- Strong emotional intelligence with the ability to build positive working relationships with staff, Council, community members, Knowledge Keepers, Elders, and other stakeholders
- A respectful, community-focused approach and the ability to work comfortably with diverse groups of people
- Tact, diplomacy, discretion, and professionalism when handling sensitive information and situations
- Cultural awareness and an understanding of First Nations governance and relevant Indigenous history in Canada
- Proficiency with Microsoft Office, particularly Word and Excel, and comfort learning and working with digital systems
- Experience working with Indigenous communities is considered an asset
*Education & Experience*
- A diploma or certificate in office administration is preferred
- 1?2 years of experience in an administrative role, ideally in a First Nations or Indigenous setting
- Valid Class 5 driver?s license
- Must be willing to complete a criminal record check if required
