Your tasks

  • Job Intake and Assignment: Monitor incoming photography jobs, confirm they are ready for quality control, and assign them to team members based on workload, deadlines, job size, and individual experience.
  • Workflow Prioritization: Prioritize assignments according to delivery and activation dates, yearbook and composite deadlines, and seasonal demand. Rebalance workloads when volumes increase, team members are unavailable, or urgent jobs arise.
  • Job Tracking and Follow-Up: Maintain an accurate tracking system covering each job from intake through completion. Monitor progress daily and follow up on delayed, stalled, or incomplete assignments.
  • Deadline and Quality Oversight: Ensure every job is reviewed within established turnaround times and that all required quality control checklist items are completed before a job is marked finished.
  • Issue Resolution and Escalation: Follow up with photography teams when information, images, or data are missing. Escalate jobs at risk of missing deadlines to the appropriate operational leaders and affected teams.
  • Reporting and Communication: Report on job volumes, turnaround times, and backlogs. Serve as the primary point of contact for job status inquiries and share recurring quality trends with leadership and photography training teams.
  • Image Editing and Quality Control: Review and edit photographs to ensure correct cropping, centering, head sizing, and positioning. Remove backgrounds, correct glass glare, and verify that unsuitable images are removed from customer galleries.
  • Lighting and Brand Consistency: Check lighting consistency across photographers working on the same job and report potential lighting or calibration issues.
  • Data Accuracy and Privacy: Confirm that each subject has the correct primary image, verify student and staff classifications, check name formatting and graduate email addresses, and ensure photography opt-outs are respected before activation. Identify and separate combined files to protect customer privacy.
  • Team Support and Continuous Improvement: Provide constructive feedback to photography teams, document examples of strong work and improvement opportunities, and collaborate with training teams to refine quality standards, checklists, and workflows.

Requirements

  • Education: High school diploma required. Postsecondary education in business, photography, digital imaging, or a related field is preferred.
  • Relevant Experience: 2–3 years of experience in photo editing, quality control, production, or workflow coordination, preferably in school photography or high-volume photography environments.
  • Workflow Coordination: Experience assigning, scheduling, or tracking work for a team, with the ability to manage multiple jobs and deadlines simultaneously.
  • Organization and Prioritization: Strong organizational skills and the ability to balance competing priorities, monitor progress, and respond effectively to changing workloads.
  • Technical Skills: Comfortable using tracking tools, spreadsheets, photo editing software, and image management systems.
  • Visual Quality Assessment: A strong eye for detail, particularly in image cropping, centering, head size, lighting, and color consistency.
  • Data Accuracy: High levels of accuracy when entering, reviewing, and validating subject information and records.
  • Communication and Collaboration: Clear, respectful communication skills, including the ability to follow up constructively with colleagues and photography teams about outstanding work and quality concerns.
  • Deadline Management: Ability to handle high volumes of work and meet turnaround expectations during busy seasonal periods.
  • Privacy Awareness: Understanding of the importance of protecting student and customer information and ensuring images are correctly assigned.
  • Work Authorization: Must be legally authorized to work in Canada and able to perform the role from within Canada.
