Operations Associate/ Senior Operations Associate
Accountabilities: Coordinate recruitment activities by scheduling interviews, managing candidate communications, and liaising with hiring managers to keep the recruitment process organized, responsive, and timely.
Support onboarding for new hires by coordinating documentation, equipment and access setup, and providing general assistance throughout the onboarding process.
Manage staff travel logistics, including bookings, itineraries, visas or permits, and on-the-ground arrangements for field and program-related travel.
Support the planning and execution of workshops, donor meetings, offsites, and other events by coordinating venues, vendors, materials, and on-site logistics.
Source and manage local vendors and service providers while ensuring contracts, agreements, and operational arrangements align with applicable local requirements.
Oversee office and facilities needs as well as internal tools administration, including access management, licenses, subscriptions, and equipment.
Maintain and improve operational systems and documentation, including trackers, checklists, logs, vendor agreements, and program files, to increase efficiency and scalability.
Identify operational challenges, coordinate with the appropriate internal teams or advisors to resolve them, and contribute to continuous process improvements as local operations mature.
Serve as a coordination point between candidates, new hires, consultants, partners, vendors, and cross-functional teams while handling confidential and sensitive information with appropriate discretion.
Take on additional operational and administrative responsibilities as priorities evolve and contribute wherever needed to support effective program operations.
Requirements:
Bachelor's degree, diploma, or equivalent professional experience, ideally in business administration, human resources, operations, or a related field.
Proven experience in operations, HR-adjacent, administrative, coordination, or similar roles involving multiple stakeholders and competing priorities.
Good working knowledge of administrative and operational practices in India, including familiarity with local vendor management, travel arrangements, contracts, visas or permits, and relevant regulatory or compliance considerations.
Excellent organizational and time-management skills, with the ability to manage multiple tasks, deadlines, stakeholders, and operational details simultaneously without losing focus.
A proactive, self-directed approach with the ability to shift priorities quickly, take initiative, solve problems independently, and operate effectively without extensive supervision.
Strong written and verbal communication skills, with the confidence to coordinate professionally with candidates, employees, hiring managers, vendors, partners, and external service providers.
Comfortable working with HR, operations, project management, scheduling, applicant tracking, and travel tools; familiarity with HRIS platforms such as BambooHR or similar systems is an advantage.
Adaptable and resilient, with a willingness to take a hands-on approach across operational, administrative, logistical, and coordination activities in a fast-paced and evolving environment.
Demonstrated ability to manage confidential HR, vendor, and program information with professionalism, sound judgment, and discretion.
Proven ability to identify process improvements, streamline workflows, and create scalable operational systems such as trackers, checklists, documentation, and standardized processes.
