Finance and Administration Specialist
Accountabilities: Maintain accurate contract-award documentation, including modifications, deliverables, funding records, invoices, and supporting materials in accordance with applicable government-contract requirements and internal policies.
Support invoice preparation, review, submission, and payment-status tracking.
Perform accounts payable and accounts receivable support using QuickBooks Online and Rippling while following compliant accounting practices.
Maintain accounting records, general ledger support, job-cost data, labor allocations, and documentation required for audit readiness.
Reconcile timekeeping, payroll, and accounting records, identifying discrepancies and coordinating corrections as needed.
Support payroll activities, including timecard reviews, employee changes, payroll reporting, and document retention.
Coordinate with project managers and employees to collect labor information, expenses, deliverables, and other documentation required for invoicing and contract administration.
Organize and archive contract documentation and support customer portal administration, document submissions, reporting uploads, and related requirements.
Assist with proposal administration by collecting cost and pricing information, maintaining labor-rate inputs, and organizing proposal files.
Coordinate employee onboarding and offboarding requirements, including document collection, employment verification, background checks, I-9 processing, and system access.
Support benefits administration, employee changes, policy acknowledgments, required training, and HR compliance tracking.
Maintain accurate and confidential personnel, financial, and contract records while supporting broader administrative priorities.
Requirements:
At least 1 year of experience maintaining business financial records, with experience in invoicing, accounts payable, accounts receivable, timekeeping, payroll support, or financial administration strongly preferred.
At least 2 years of experience supporting U.S. government contracting in accounting, finance, HR administration, contract administration, or compliance for prime or subcontract environments.
Experience with DCAA-compliant accounting or financial processes and an understanding of documentation and audit-readiness requirements.
Proficiency with QuickBooks Online, Rippling, Microsoft Office, and Google Workspace; experience with comparable accounting, payroll, or HRIS platforms may also be relevant.
Experience supporting employee onboarding and offboarding, benefits administration, personnel records, timekeeping, payroll processes, or related HR administration.
Strong attention to detail and organizational skills, with the ability to manage multiple priorities and meet deadlines without sacrificing accuracy.
Strong written and verbal communication skills and the ability to collaborate effectively in a remote environment.
Ability to work independently, take initiative, and maintain reliable follow-through with limited day-to-day supervision.
Demonstrated discretion when handling confidential financial, employee, and contract information.
Comfortable communicating with internal teams, clients, vendors, project managers, and stakeholders connected to government contracts.
