Case Intake Coordinator III
Accountabilities Manage intake overflow and ensure incoming inquiries are addressed accurately and promptly.
Support case managers throughout the intake process and help ensure new cases move efficiently through the appropriate stages.
Review incoming information and verify that records are complete, accurate, and properly entered into internal systems.
Coordinate with internal teams to support case progression and respond to client service requirements.
Assist with early onboarding activities for new cases, helping establish a smooth and professional client experience.
Answer inbound phone calls using professional and courteous phone etiquette.
Respond to emails promptly, clearly, and professionally.
Review, organize, maintain, and update client documentation.
Apply quality-assurance practices to intake information and case records to minimize errors and missing information.
Identify discrepancies or incomplete information and take appropriate action to resolve them.
Manage multiple inquiries, cases, and administrative priorities while maintaining accuracy and service quality.
Provide a professional and positive first impression to prospective clients throughout the intake experience.
Requirements
Previous experience in customer service, client intake, administrative coordination, case management, or a related role.
Strong customer-service orientation and the ability to communicate professionally with clients and internal stakeholders.
Excellent written and verbal communication skills.
Professional and confident phone etiquette.
Strong English proficiency, as the role involves working in an English-speaking environment.
Excellent organizational skills and the ability to manage multiple priorities effectively.
Strong attention to detail and a commitment to accuracy when handling client information and documentation.
Reliable, dependable, and consistent in following through on assigned responsibilities.
Comfortable working in a fast-paced environment where priorities may change.
Ability to work independently while collaborating effectively with internal teams.
Experience with quality assurance, documentation review, or process accuracy is desirable.
Previous sales experience is preferred, particularly experience involving customer communication, lead qualification, or relationship building.
Professional, service-oriented approach with the ability to remain calm and helpful when handling multiple inquiries or competing demands.
Comfortable using digital systems to enter, organize, retrieve, and maintain information.
Benefits
Compensation: $1,142–$1,220 USD per month.
Work arrangement: 100% remote and home-based.
