Are you someone who gets energy from the logistics world: planning, administrative accuracy, and a dynamic working environment? Are you looking for a role in which you truly have an impact on the daily logistical flow of a terminal? Then this is your chance.

About the position As a Logistics Administrative Assistant, you will become the beating heart of the logistics administration at the terminal site in Gent. You will work in a growing team responsible for the complete follow-up of incoming and outgoing transports (trucks, and later also ships and trains). The current requirement is that you primarily have extensive knowledge of maritime transport. You are the first point of contact for drivers.

Your main tasks

  • Reception and guidance of truck drivers and suppliers on site.
  • Processing of transport documents (including CMR, customs documents) and correct registration in the systems.
  • Daily planning and follow-up of trucks; later also ships and rail.
  • Administrative follow-up of files from A to Z: nominations, registrations, reports, invoicing data.
  • Working in Excel and (soon) in a new ATMS system for which you will receive training.
  • Flexible working hours between 6:00 and 12:00 (rotation system) to provide coverage until 20:00.

We are looking for someone who has experience in transport/logistics and enjoys switching between administration, planning, and operational contact.

Your profile

  • At least 1–3 years of experience with transport documents or logistics administration.
  • No bachelor's degree required — relevant experience takes precedence.
  • Very good knowledge of English; French is a plus (confidence is more important than perfection).
  • You are stress-resistant, hands-on, and feel comfortable in an environment where not everything is set in stone.
  • You bring structure, work accurately, and keep a cool head during peak periods (20–60 trucks per day).
  • You are social, open, and not afraid to address drivers or contractors.
  • Not a purely administrative profile from another sector — a logistical feeling is essential.
