Clinical Assistant
About the company
Inflexion Clinic is building an outcome-driven musculoskeletal (MSK) primary care group in Singapore. Our first clinic delivers assessment and non-surgical management of osteoarthritis and common MSK conditions — including image-guided and landmark joint injections (PRP, hyaluronic acid, corticosteroid, trigger point) and extracorporeal shockwave therapy (ESWT) — under a single-doctor model at launch.
Your tasks
We are hiring a Clinic Assistant to be the operational backbone of that clinic: chaperoning and assisting the doctor through procedures, keeping the treatment room and stock in order, and running the front desk and claims. This is a hands-on hybrid role suited to someone who wants clinical exposure alongside real ownership of clinic operations, and who is comfortable being one of the first hires in a clinic that is still being built.
1. Clinical support and procedure assistance
- Prepare and turn over the consultation and procedure rooms between patients, including couch set-up, patient positioning and draping.
- Take and record vital signs, height, weight and basic measurements; prepare patients for assessment.
- Chaperone and assist the doctor during joint injections and trigger point procedures — laying up the trolley, aseptic preparation of the skin, passing consumables, and handling sharps safely.
- Assist with ESWT and other therapeutic sessions: equipment set-up, applicator and gel preparation, patient comfort and session logging.
- Monitor patients' post-procedure, escalate any adverse reaction to the doctor immediately, and document observations.
- Apply and change simple dressings, and provide post-procedure care instructions under the doctor's direction.
- Carry out decontamination and disinfection of instruments, and maintain the clinic's infection prevention and control routines.
- Segregate and dispose of clinical, sharps and cytotoxic waste in line with clinic SOPs and licensed-collector requirements.
- Assist with specimen labelling, packing and hand-over to the reference laboratory, and chase outstanding results.
- Support the doctor in keeping the clinic ready for MOH / HCSA inspection — checklists, logs, temperature records and emergency trolley checks.
2. Inventory, dispensing and stock control
- Own day-to-day inventory for medical consumables, injectables, dressings, PPE and general clinic supplies: maintain par levels, raise purchase orders, receive goods and reconcile delivery orders against invoices.
- Run cycle counts and a full periodic stock-take; investigate and report variances.
- Manage expiry using first-expired-first-out rotation; quarantine and document short-dated, damaged or recalled stock.
- Maintain the cold chain for temperature-sensitive items — daily fridge temperature logs, calibration checks and excursion reporting.
- Assist with dispensing under the doctor's supervision: pre-packing, labelling, and second-checking against the prescription before hand-over to the patient.
- Keep records for prescription-only and controlled items in line with HSA and clinic requirements, including receipt, usage and disposal logs.
- Track consumable usage per procedure type so the clinic can cost procedures accurately, and flag stock trends or supply risks to IHG management.
- Liaise with suppliers and service vendors on orders, shortages, back-orders, returns and equipment servicing schedules.
3. EMR, front desk and claims
- Clinic EMR / CMS — register patients, verify identity and contact details, schedule and reschedule appointments, maintain accurate clinical and billing entries, and keep the daily appointment list clean.
- The clinic runs Plato. Candidates experienced on any other Singapore clinic management or EMR system will be trained on ours.
- Prepare and submit MediSave, MediShield Life and CHAS claims where applicable; monitor rejections and resubmit promptly.
- Handle corporate, insurer and third-party administrator billing — verify letters of guarantee, prepare invoices and follow up on outstanding accounts.
- Take payment, issue receipts, reconcile daily collections and cash float, and prepare the daily takings report.
- Obtain and file PDPA consent, manage medical record confidentiality, retention and safe disposal.
- Answer calls, WhatsApp and email enquiries professionally; triage urgent clinical questions to the doctor rather than answering them directly.
- Support patient recall and follow-up for injection courses, ESWT packages and review appointments.
4. Patient experience and clinic operations
- Set the tone at the front desk — greet every patient by name, manage waiting time expectations, and keep the reception and clinical areas clean, stocked and presentable.
- Help refine and document clinic SOPs; suggest workflow improvements.
- Support opening and closing routines, equipment checks and end-of-day security.
- Take on ad hoc duties reasonably required as the clinic grows.
Requirements
What we are looking for
- Minimum GCE 'N' / 'O' Level or equivalent; Nitec / Higher Nitec in Nursing, Healthcare or a WSQ Healthcare Support qualification is an advantage.
- At least 1–2 years in a Singapore clinic, specialist practice, day surgery or healthcare setting as a clinic assistant, patient service associate, healthcare assistant or similar.
- Practical competence in a clinical support role — vital signs, aseptic technique, chaperoning, instrument handling and infection control.
- Hands-on experience with at least one clinic EMR / clinic management system, and confidence learning a new one quickly.
- Proficient in insurance claims — preparing and submitting claims, verifying letters of guarantee and pre-authorisation, coding and supporting documentation, tracking rejections and resubmissions, and following up outstanding balances with insurers, third-party administrators and corporate clients.
- Working knowledge of MediSave, MediShield Life and CHAS claim submission, or demonstrable ability to pick it up fast.
- Demonstrated ownership of stock or inventory duties — ordering, stock-take, expiry control.
- Accurate with numbers and records; comfortable reconciling cash and claims daily.
- Fluent written and spoken English.
- Dependable, discreet with confidential information, and calm with anxious or in-pain patients.
