  1. Job Purpose

The Fleet & Logistics Manager will be responsible for the efficient, safe and cost-effective management of the company’s fleet, drivers, transport operations and logistics activities. The role will ensure vehicles are properly maintained, fuel is controlled and accounted for, drivers are effectively supervised, routes are planned efficiently, and agricultural/raw-material and finished-product movements are executed on time.

  1. Key Responsibilities

Fleet Management

  • Manage the company fleet, including trucks, pickups, motorcycles and other transport assets.
  • Maintain accurate fleet records covering vehicle allocation, mileage, service history, insurance, licensing, inspection and repairs.
  • Develop and implement preventive maintenance schedules to minimise breakdowns and vehicle downtime.
  • Coordinate vehicle servicing, repairs, inspections and emergency breakdown response.
  • Monitor vehicle utilisation and recommend replacement, disposal or acquisition where necessary.

Fuel Management & Cost Control

  • Develop and enforce effective fuel management and accountability systems.
  • Monitor fuel consumption against approved vehicle benchmarks, mileage and routes.
  • Review fuel records, fuel cards, fuel receipts and consumption reports and investigate variances or unusual usage.
  • Identify opportunities to reduce fuel costs, vehicle idling, unnecessary trips and other transport-related expenses.
  • Prepare regular fleet and fuel performance reports for management.

Drivers & Transport Team Management

  • Supervise, coordinate and performance-manage drivers and other transport personnel.
  • Prepare driver schedules, duty rosters and work allocations based on operational requirements.
  • Manage driver leave schedules and ensure adequate coverage during leave, rest days and absences.
  • Monitor driver attendance, punctuality, conduct, productivity and compliance with company procedures.
  • Coordinate driver induction, training, safety briefings and periodic performance reviews.
  • Promote safe driving practices and enforce company transport, safety and disciplinary policies.

Route Planning & Logistics Coordination

  • Plan and optimise delivery, collection and distribution routes based on customer locations, production schedules, vehicle capacity, road conditions and delivery priorities.
  • Coordinate movement of raw materials, agricultural produce, packaging materials and finished products.
  • Develop daily and weekly transport plans and communicate schedules clearly to drivers and relevant departments.
  • Track vehicle movements and deliveries and promptly address delays, route deviations and operational disruptions.
  • Coordinate with Production, Procurement, Warehouse, Sales and Finance teams to ensure smooth logistics operations.

Compliance, Safety & Risk Management

  • Ensure all vehicles and drivers comply with applicable transport, road safety, insurance, licensing and statutory requirements.
  • Maintain up-to-date vehicle documentation and ensure timely renewals.
  • Investigate accidents, vehicle incidents, losses and damage and prepare incident reports with recommended corrective actions.
  • Implement vehicle and driver safety procedures and monitor compliance.
  • Ensure safe handling and transportation of company goods and agricultural materials.

Reporting & Administration

  • Prepare weekly and monthly reports on fleet utilisation, fuel consumption, maintenance costs, mileage, vehicle availability, delivery performance and incidents.
  • Maintain accurate transport documentation, logbooks, trip sheets, delivery records and driver files.
  • Monitor transport budgets and support management with cost forecasts and expenditure controls.
  • Maintain a reliable database of vehicles, drivers, service providers and transport-related contracts.

  • Vehicle availability and fleet utilisation rate.
  • Fuel consumption and fuel-cost efficiency.
  • Reduction in avoidable vehicle downtime and maintenance costs.
  • On-time delivery and collection performance.
  • Driver attendance, compliance and safety performance.
  • Accuracy and timeliness of fleet, fuel and logistics reports.
  • Compliance with vehicle documentation, servicing and statutory requirements.
  1. Qualifications & Experience
  • Bachelor’s degree or diploma in Logistics & Transport Management, Supply Chain Management, Business Administration, Operations Management or a related field.
  • Minimum five (5) years of relevant experience in fleet, transport and logistics management.
  • Proven experience managing drivers, vehicle schedules and transport operations.
  • Practical knowledge of fleet and fuel management, vehicle maintenance and cost control.
  • Experience in route planning, dispatch coordination and delivery scheduling.
  • Experience in driver leave/roster management and performance supervision.
  • Experience in an agro-processing, manufacturing, FMCG, agricultural or distribution environment is an added advantage.

  • Strong data analysis and reporting skills, with good working knowledge of Microsoft Excel.
  • Good understanding of vehicle maintenance, road safety and transport compliance.
