Administration Assistant Manager

Role Purpose The Administration Assistant Manager will support the effective management of plant administration and general services, ensuring reliable day-to-day operations across facilities, security, housekeeping, transportation, employee services, accommodation, vendor coordination, expatriate documentation and business travel. The role will maintain service standards, statutory compliance and cost control while providing responsive administrative support to the manufacturing facility.
Key Responsibilities
- Oversee daily plant administration activities and general services to support efficient and uninterrupted operations.
- Manage office administration, facility upkeep, housekeeping, security, utilities coordination, office supplies and common-area services.
- Plan and coordinate employee transportation, including routes, schedules, service providers, vehicle requirements, safety and cost effectiveness.
- Coordinate employee welfare services and accommodation arrangements where applicable, ensuring appropriate standards and timely issue resolution.
- Manage administrative vendors and service providers, including quotations, commercial evaluations, contracts, performance monitoring and service-quality improvement.
- Prepare and monitor administrative budgets, purchase requests, purchase orders, invoices and cost-control measures in coordination with Finance and Procurement.
- Maintain complete and well-controlled administration records, contracts, approvals, service reports and supporting documentation.
- Coordinate expatriate visa, work-permit, residency and renewal processes in collaboration with HR, relevant authorities and approved service providers, while maintaining confidential and accurate records.
- Manage business travel arrangements, including flight bookings, hotels, ground transportation, airport assistance and required travel documentation, in line with company policy and approved budgets.
- Coordinate official visitors, meetings, site events and other administrative support requirements as assigned.
- Identify operational risks, resolve administrative issues promptly and support emergency preparedness, business continuity, safety and company compliance requirements.
Qualifications and Experience
- Bachelor's degree in Business Administration, Management, Facilities Management, Hospitality Management or another relevant discipline.
- Five to eight years of administration experience, preferably within a manufacturing, industrial or large-site operating environment.
- Practical experience managing facilities, vendors, transport, accommodation and employee-support services.
- Experience handling licenses, permits, expatriate visas, work permits, residency documentation or business travel is strongly preferred.
- Experience managing administrative budgets, procurement requests, service contracts and cost controls.
- Previous supervisory or team-coordination experience is preferred.

- Good communication and stakeholder-management skills across employees, managers, suppliers and government or service representatives.

- Good financial awareness, budget control and attention to administrative cost efficiency.
- Strong working knowledge of Microsoft Office and the ability to maintain accurate trackers, records and reports.
- High level of integrity, discretion and confidentiality when handling employee, expatriate and company documentation.
- Professional proficiency in Arabic and English, both written and spoken.
- Willingness and ability to work full time at the Ismailia Free Zone facility.
