Receptionist
DESIGNATED ROLE:
The Receptionist is expected to provide exceptional reception and various representative services at our partner office. The functions intended for this role include managing the reception desk, providing a warm welcome to visitors and office employees, supporting booking processes, supervising cleaning personnel, and are aimed at the proper maintenance of our partner office.
An excellent candidate should have work experience in a corporate or 5-star hospitality reception environment, as well as possess high-level customer service and communication skills. The Receptionist will operate as part of the office Space Management team, under the supervision of the Space Management Coordinator.
JOB RESPONSIBILITIES:
Ensuring the representative and reception functions of the office reception,
Proper welcoming of office guests and employees, consistent maintenance of visitor logs,
Providing temporary access cards to employees in accordance with office security standards and procedures.
Responding to reception telephone calls professionally,
When necessary, involvement in internal booking tasks, with full awareness regarding meeting room availability. Providing support in event organizational matters (including room booking, printing and distribution of relevant protocol materials to the office technical and cleaning personnel based on event needs (room setup, provision of tableware, plates, etc.),
Handling company correspondence, sorting letters, announcements, and distribution to the relevant office employees,
Execution of courier and delivery orders through appropriate platforms,
Providing assistance in various administrative tasks (photocopying, recording notes, etc.),
Maintaining the incident reporting platform used for office space management, responding promptly to opened requests in accordance with the requirements of the office space management Service Level Agreement (SLA),
On-site supervision of the cleaning staff's work, identification and resolution of issues, maintaining contact with "Hestia" management.
PREVIOUS ABILITIES:
Mandatory requirements to qualify for this role are positive experience working in a dynamic and customer-oriented environment, as well as excellent administrative and communication skills. Within this general expectation, specific abilities include the following:
Demonstrable work experience in a corporate or hospitality reception environment,
Minimum of 1 year of work experience in a corporate environment; experience in reception or office space management is preferred,
Excellent customer service skills,
Proficiency in written and spoken English,
Telephone communication professionalism and confidence,
Excellent verbal and written communication skills,
High-level planning and organizational skills,
Ability to work independently with a proactive and flexible approach,
Excellent literacy in working with MS Outlook, Word, and Excel programs,
Ability to perform multiple tasks simultaneously and set priorities personally,
Developed taste and intuition for maintaining a neat appearance.
