Finance & Administration Executive
About the Company Our client operates within a family office structure in Singapore, supporting the family’s investment activities and related financial and administrative operations. The role involves working closely with management and external professional service providers to maintain accurate financial records, coordinate administrative matters and support the smooth running of the office. Confidentiality, attention to detail and a responsible approach are essential. About the Role We are seeking a dependable and organised Finance & Administration Executive to support day-to-day accounting, financial reporting and office administration. The successful candidate should be comfortable handling a broad range of responsibilities, following up on outstanding matters and managing deadlines independently. Key Responsibilities Finance and Accounting Support Maintain accurate accounting records and organise invoices, receipts, payment vouchers and supporting documents.
Process supplier invoices, employee expense claims and payment requests in accordance with the Company’s approval procedures.
Perform bank reconciliations and follow up on discrepancies or outstanding transactions.
Monitor cash balances, payment schedules, receivables and operating expenses.
Assist with monthly management reports, budget tracking and cash flow summaries.
Compile bank statements and investment-related transaction records for accounting and reporting purposes.
Liaise with external accountants, auditors and tax advisers on financial information, supporting schedules and queries.
Assist with year-end closing and the preparation of documents required for audit and tax filings.
Administration and Coordination Coordinate office supplies, service providers, renewals and other day-to-day administrative arrangements.
Maintain organised electronic and physical filing systems for corporate, financial and operational records.
Arrange meetings, prepare relevant documents and follow up on agreed administrative actions.
Coordinate documentation requests from banks, corporate secretarial firms and other professional service providers.
Assist with employee onboarding records, leave records and payroll information for the appointed service provider.
Handle confidential company and family office information with discretion.
Undertake other finance and administrative duties relevant to the role.
Requirements Diploma in Accounting, Finance, Business Administration or a related discipline, or equivalent relevant experience.
Relevant experience in accounting support, finance operations and office administration.
Sound understanding of bookkeeping, bank reconciliations and financial documentation.
Proficiency in Microsoft Excel and familiarity with accounting software.
Strong organisational skills, accuracy and the ability to prioritise tasks and meet deadlines.
Ability to work independently, exercise sound judgement and follow established approval procedures.
Clear communication skills and the ability to coordinate effectively with management and external service providers.
