Description:

Join this European Institution to deal with administrative, operational and procurement tasks. Our client, a European institution, is looking for an Operational Assistant who speaks English fluently. This temporary contract starts in July.

Accountabilities:

Prepare the steps in the onboarding process supporting the department's staff movements and (non-CRE) consultants, including completion of SPARK and MyRequest registrations (and their timely updates), intranet updates and distribution lists ensuring adherence to the company's procedures. Provide high-level administrative and operational support to the Head of the Coordination division. Lead new office space related initiatives and events for the directorate, including the update of quarterly occupancy forecasting, administrative preparation of events, and change management related topics. In collaboration with the directorate assistants, support the administrative preparation and distribution of Management Committee notes, and (if needed during holiday periods) support the Senior Management team in terms of participation and preparation in high level meetings. Support the preparation of procurement-related documentation in line with the company's Procurement guidelines (i.e. contractual amendments for externals, preparation of requisitions etc.). Provide ad hoc support to the Head of Division to contribute to the smooth running of daily operations.

Qualifications:

At least 5 years' experience in an equivalent role, including at least 3 years in an operational assistant position. Strong organisational and administrative skills. Experience of working with multicultural and international teams as well as with external service providers. Experience in operational cooperation with IT and FM technicians. Good knowledge of advanced functions in Microsoft Office, GED, and Sharepoint. Fluent level in English. Certified secondary level education, complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration)
