HSQE Coordinator
Coordinate HSQE compliance, records, monitoring and vessel/shore follow-up. Support daily HSQE activities; collect and track vessel records, acknowledgements, actions and evidence. Maintain audit-ready electronic trackers for audits, inspections, incidents, drills, circulars and statutory documents; follow up overdue items. Monitor work/rest-hour exceptions, Master’s Reviews, medical records, drug/alcohol testing, and port-/flag-state inspections, escalation and closure. Plan and execute internal audits in the office in co-operation with the HSQE Manager. Maintain HSQE Management System records. Coordinate external ISM, ISPS and MLC audits. Assist HSQE manager for external ISO audits and TMSA audits. Monitor internal, navigational, mooring, cargo audits: upkeep certificates and records; ensure reports and closure evidence are filed. Register incidents, accidents and corrective actions; support ship-shore emergency drills; distribute and track safety flashes, fleet memoranda, campaigns, lessons learned and circulars. Compile management-review, meeting, Bimco/Intertanko KPI and other performance data. Compile incidents, non-conformities, audits, inspections, drills, observations, risk assessments, minutes, actions etc. Liaise with vessels, superintendents, class, flag administrations, agents, laboratories, medical providers and internal departments. Track senior-management vessel visits and maintain records. Set up HSQE records and coordinate preparation/filing of required plans, posters, booklets, complaint procedures, takeover documents, MLC/DMLC and SEEMP records for newly managed vessels. Maintain the office library in liaison with various departments. Take active part in the Health, Safety, Quality, Environmental, Energy and Cyber Security Culture within the Company. Any ad-hoc duties as assigned
Qualifications and Experience:
- GCE O-Level/equivalent with 4–5 years’ relevant experience, or maritime/engineering diploma with min 2 years’ relevant experience.
- Knowledge of ISM, ISPS, MLC, PSC, flag-state and ship-management documentation;
- Knowledge about ISO 9001, 18001, 45001 will be added advantage.
- Well-versed with MS Excel, Word and Power point;
- Ability to work in a fast-paced environment with deadlines and goals;
- Team player able to work well with team members;
- Clear communication; organised, accurate, proactive and able to manage deadlines independently and collaboratively.
