Your tasks

The Merchandising Assistant/Executive supports the Merchandising Leaders with the administrative and system backbone of the buys, with a strong focus on accuracy in purchase orders, item masters and pricing, and on making sure product is system-ready and can be sold from day one.

Working closely with the Merchandising Leaders, the Merchandising Assistant/Executive keeps trackers current, follows up on outstanding items from the Global Brand, and helps ensure opening allocation, transfer orders and POS set-up are completed to plan.

The role is detail-driven and hands-on, with a focus on getting the data right first time and flagging issues early.

Purchase Orders & Item Masters

  • Upload purchase orders to the systems and check them for accuracy against the approved plan.
  • Flag mismatches and errors to the Merchandising Leader before they reach the supplier or DC.
  • Pull together item masters with the details needed (style-colour, size, barcode, cost, retail price and category) and keep them clean and complete.
  • Provide administrative support to the Merchandising Leader on day-to-day merchandising tasks.

Pricing & System Set-Up

  • Act as the point of audit for pricing and pricing set-up, checking system prices against the approved price list.
  • Flag and log any pricing discrepancies and follow up until they are resolved.
  • Work with the team to ensure system set-up is completed accurately and on time for new product.
  • Support checks to ensure prices scan correctly on POS before product goes on the shop floor.

Inbound Shipments & Global Brand Follow-Up

  • Start and maintain trackers for incoming shipments and what is still outstanding.
  • Keep trackers current and visible to the team, and highlight delays or gaps to the Merchandising Leader.
  • Track updates received from the Global Brand and log what remains outstanding.
  • Alert the Brand Managers to outstanding items so that follow-up can be made in a timely manner.

Opening Allocation & Transfers

  • Administratively track the opening allocation to the store.
  • Prepare the transfer orders relevant to the plan-to-space.
  • Check that quantities in the allocation and transfer orders match the plan.
  • Communicate allocation and transfer status to the Merchandising Leader and relevant teams.

Team & Process Support

  • Keep clear, organised records so that work can be picked up by others when needed.
  • Follow company SOPs and established merchandising processes consistently.
  • Communicate issues and updates to the Merchandising Leader in a timely manner.
  • Foster a positive and collaborative working relationship with Merchandising, Visual, Operations, Service and the DC team.
  • Any other ad hoc responsibilities assigned as needed.

Requirements

  • Diploma or equivalent qualification preferred.
  • Some computer knowledge and comfort with Excel (filters, lookups and basic formulas; pivots an advantage).
  • Retail, merchandising or supply chain exposure is helpful but not essential. Experience with an ERP system (Odoo or similar) is an advantage.
  • Strong attention to detail and a habit of double-checking own work.
  • Organised and dependable, able to maintain trackers and follow up without being chased.
  • Good written communication skills and willingness to flag issues early.
  • Able to commit to a 5-day work week (Monday to Friday), from 9:00 AM to 6:00 PM, for the full 2-month contract period.
