Executive Personal Assistant to CEO

We are seeking a highly capable Executive Personal Assistant to provide dedicated professional and personal support to the CEO / Managing Director across multiple business interests.
This is a high-trust role requiring excellent organisation, attention to detail, discretion, initiative and sound judgement. The successful candidate will work closely with the CEO / Managing Director in a fast-paced and international environment, supporting the effective management of priorities, engagements, travel, research and follow-ups.
Key Responsibilities
- Manage a complex calendar, meetings, appointments and priorities.
- Coordinate international business travel, including schedules, meetings, flights, accommodation, ground transportation and other logistical arrangements.
- Provide executive support during international business travel when required, including coordination of schedules, meetings, logistics and on-the-ground arrangements.
- Conduct research and fact-finding across a broad range of topics and distil findings into concise, accurate and useful summaries.
- Verify important information and sources where appropriate.
- Track decisions, commitments and follow-up items to ensure timely completion.
- Manage correspondence and assist with drafting communications where required.
- Coordinate with internal teams, clients, business partners and external stakeholders as required.
- Handle confidential and sensitive information with a high level of discretion.
- Provide broader executive, administrative and selected personal support as reasonably required.
Candidate Requirements
- Relevant professional experience in executive support or transferable backgrounds such as hospitality, premium service or other client-facing industries is preferred. Prior EA/PA experience is advantageous but not essential.
- Exceptional fresh graduates are also welcome to apply and will be considered based on their skills, capabilities and suitability for the role.
- Exceptional attention to detail and strong organisational skills, with the ability to manage multiple priorities and remain composed in a fast-moving environment.
- Strong judgement, initiative and resourcefulness, with a proactive approach to anticipating requirements, solving problems and following through.
- Highly trustworthy and discreet, with a strong sense of ownership and responsibility when handling confidential and sensitive matters.
- Strong interpersonal and communication skills, with the ability to engage professionally with senior executives and stakeholders from different cultures and backgrounds.
- Able to work independently, take ownership and adapt effectively as priorities change.
- Comfortable using modern technology, productivity platforms and AI-assisted research tools, with the ability to independently verify important information and sources.
- Willing and able to undertake international business travel as required, including occasional travel at relatively short notice.
- Comfortable with occasional work requirements outside standard business hours, particularly during overseas travel and major engagements.
- A valid driving licence and ability to drive would be advantageous.
Language Requirements
- Excellent command of English, both written and spoken.
- Strong professional proficiency in either Mandarin or Japanese, both written and spoken, is required, as the role involves regular communication, correspondence and research with business partners and stakeholders in Mandarin- and Japanese-speaking markets.
- Proficiency in both Mandarin and Japanese, or another Asian language relevant to the company's regional business activities, would be advantageous.
Academic Qualifications
