Assistant to the Director
1) Organizes and plans business contacts, meetings, and trips for the executive; 2) Organizes meetings, briefings, and events conducted by the executive; 3) Prepares materials for meetings, maintains and drafts minutes; 4) Prepares presentations as instructed by the executive; 5) Prepares and conducts press conferences for the executive; 6) Organizes negotiations, provides participants with information materials, and takes notes during negotiations; 7) Performs documentary formalization of the executive's decisions, communicates the executive's oral instructions to the organization's employees; 8) Coordinates activities for the implementation of the executive's decisions; 9) Monitors the execution of the executive's decisions; 10) Prepares reports on the fulfillment of the executive's assignments and decisions.
Requirements
- Higher education (Management, Human Resource Management, Records Management and Archival Science, State and Municipal Administration); - Proficiency in English and Chinese (Advanced level for English, HSK 5 or 6 level for Chinese). Confident command of business and contract vocabulary, ability to conduct negotiations, draft and review documents; - Perfect proficiency in PC: Confident work with the entire MS Office suite (Word: formatting complex documents, Excel: working with tables and pivot reports, PowerPoint: creating high-quality presentations). Knowledge of MS Outlook at the level of managing the executive's calendar, tasks, and correspondence; - Office management skills: knowledge of the rules for drafting business documentation (orders, memos, letters), archiving documents; - Ability to effectively plan the executive's workday, prioritize meetings, and coordinate the schedules of multiple participants; - Event organization: experience in organizing meetings, conferences, and business trips (booking tickets, hotels, visa support); - Travel support: creating complex itineraries, resolving unforeseen situations during trips; - Information processing skills: ability to quickly find and analyze information from various sources, compile summaries and reports.
