Planning and Export supervisor

Job Details

Responsible for planning and controlling the production process to align with customer orders, production capacity, raw materials, and delivery schedules to ensure on-time delivery, while also overseeing the entire export process, from document preparation and coordination with shipping lines/Freight Forwarder to customs formalities. This position serves as a link between Sales – Planning – Production – Warehouse – Logistics to ensure smooth operations.

Production Planning Tasks

• Prepare Daily / Weekly Production Plan and Master Production Schedule (MPS)
• Verify Customer Order and Due Date; coordinate with the production department regarding Capacity
• Monitor Actual Production against the plan; report issues when production does not follow the plan
• Coordinate with the Purchasing and Warehouse departments to verify the readiness of raw materials and packaging before creating the production plan
• Verify Finished Goods Availability and pass ready-to-ship product information to the Logistics department

Export Documentation and Logistics Tasks

• Prepare Invoice, Packing List, Export Declaration, Container Load Plan, and Shipping Instruction (SI)
• Prepare supporting export documents such as general C/O / Chamber C/O, Form D, E, AK, AI, Jtepa, and documents for renewing export licenses with government agencies
• Coordinate with shipping lines (Agent) and transport companies to ensure goods are delivered to customers accurately and on time
• Verify the accuracy of freight bills and various service charges

Data and Reporting Tasks

• Prepare Daily/Weekly Planning Report and Plan vs. Actual Report
• Update Production and Order status to be current, and prepare supporting data for management reports
• Track Production Delay issues and coordinate with relevant departments until resolved
• Support Continuous Improvement of the department's planning processes

Qualifications:

• Bachelor's degree in Management, Business Administration, Logistics Management, International Trade, or other related fields
• 3–5 years or more in Production Planning / Logistics / Export (experience in managing or supervising a team will be specially considered)
• Advanced level Microsoft Excel skills (XLOOKUP, SUMIFS, Pivot Table, Power Query)
• Knowledge of ERP / MRP systems and production planning (MPS)
• Good English level for coordinating with customers and international Freight Forwarders
• Understanding of the Sales – Planning – Production – Warehouse – Logistics process
• Detail-oriented, systematic in data verification, and highly responsible
• Ability to manage urgent tasks and work well under pressure
• Coordination skills, problem-solving skills, and a Proactive Mindset
• Leadership qualities and the ability to provide guidance to the team
