CEO Office Manager for a Biotech company in Rehovot
Role Essence:
A central role within the CEO's environment, involving coordination, monitoring, and driving interfaces, serving as their right hand in these aspects. Ongoing work with various parties inside and outside the company, alongside managing multiple tasks, identifying needs, and monitoring execution.
Main Areas of Responsibility:
Office and Calendar Management:
Managing a complex calendar, coordinating meetings, handling a tight schedule, filtering calls, and responding to urgent inquiries.
Coordination and Preparation of Meetings and Sessions:
Coordinating participants, collecting and consolidating materials, and monitoring the preparation of required content.
Monitoring and controlling the CEO's tasks and decisions, including reminders, status tracking, and flagging issues requiring attention, as well as monitoring the execution of tasks and management decisions. Writing meeting summaries and following up on the implementation of decisions and tasks received. Ongoing work with management members and senior stakeholders in the organization.
Interfaces and Coordination:
- Ongoing contact with company managers, employees, external suppliers, and key customers.
- Ongoing contact with manufacturers and customers abroad, including transferring reports and information according to established frequency and requirements.
- Hosting and receiving customers, business partners, and guests from abroad.
- Working with external institutions according to the needs of the CEO and the company.
- Ongoing contact and coordination with the company's Board of Directors and board members, including preparing materials and coordinating meetings.
- Handling administrative and operational tasks derived from the CEO's work, while maintaining discretion and confidentiality.
Job Requirements:
- Previous experience in a similar role in a senior management environment – Mandatory.
- English at native level / very high level, including the ability to conduct oneself fluently in writing and orally.
- Academic education.
- High ability to manage, coordinate, and monitor multiple tasks and interfaces.
- Ability to drive stakeholders without direct authority, assertiveness, and the ability to ensure execution.
- Excellent interpersonal skills and the ability to create personal and professional connections with a variety of parties.
- Service-oriented, professional appearance, and a high ability to work with customers and senior officials.
