Operations Executive (Chinese Speaking)
- Transportation Coordination
- Coordinate with shipping lines, airlines, and transport providers (both local and international).
- Arrange bookings for cargo shipments.
- Communicate and coordinate with customers, overseas agents, and Chinese suppliers/partners regarding shipment arrangements.
- Import-Export Documentation
- Prepare, check, and verify import-export documents such as: Invoice, Packing List, Bill of Lading (B/L) or Air Waybill (AWB)
- Ensure all documents are accurate, complete, and compliant with regulations.
- Shipment Tracking
- Monitor shipment status during transit closely.
- Update customers and overseas agents on shipment progress.
- Handle and proactively resolve any issues or delays during transportation.
- Customs Clearance Coordination
- Work effectively with customs brokers and customs officers.
- Prepare required information and complete documentation for customs clearance.
- Ensure full compliance with import-export laws and customs regulations.
- Problem Solving & Operations Management
- Handle daily operational issues such as shipment delays, custom hold-ups, or incorrect documentation.
- Provide quick, effective, and professional solutions to clients and partners.
- Cost Control & Quotation
- Monitor freight costs, trucking fees, and related operational expenses.
- Prepare accurate price quotations for customers when required.
Qualifications: Education: Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, International Business, or a related field. Basic knowledge of import–export processes Understanding of shipping terms (e.g., Incoterms, Bill of Lading, Air Waybill) Familiarity with customs procedures is a plus Proficient in Microsoft Office (especially Excel and Email communication) Experience: At least 1-3 years of proven operational experience in the logistics or freight forwarding industry (Experienced candidate is highly preferred). Language Skills: Excellent command of Chinese (Mandarin) and English (Reading, Writing, and Speaking) to efficiently communicate with Chinese suppliers, overseas agents, and international clients. Ability to communicate with overseas agents and clients Strong accuracy in handling documents and shipment data Ability to identify and prevent errors Able to work under pressure and meet tight deadlines Good organizational and multitasking skills Strong coordination skills with multiple parties (clients, carriers, customs) Good problem-solving and negotiation skills Responsible, proactive, and able to work as part of a team High level of integrity and reliability Experience in freight forwarding or logistics field Knowledge of ERP or logistics software Ability to handle unexpected situations effectively
