Source and select vendors (Sourcing) both domestically and internationally to compare prices, quality, and delivery terms.

Negotiate prices, payment terms (e.g., T/T, L/C), and delivery terms (e.g., FOB, CIF, EXW) to ensure maximum benefit for the company and alignment with the budget.

Prepare Purchase Orders (PO) for international vendors, follow up on order confirmations, and monitor/track agreements, contracts, and various terms and conditions.

Coordinate with Freight Forwarders, shipping lines, or airlines to book space and plan transportation schedules.

Verify the accuracy of import documents such as Proforma Invoice, Commercial Invoice, Packing List, B/L, AWB, and C/O for tax reduction purposes.

Coordinate with Shipping Agents to perform Customs Clearance, specify HS Code, and calculate import duties accurately in accordance with the law.

Track shipment status (Tracking) from abroad to the warehouse and notify relevant departments in case of delays.

Contact vendors to process claims or request refunds in cases where goods are damaged, defective, or do not meet specified specifications.

Procure goods and services completely and accurately in terms of type, quality, and quantity within the specified timeframe to meet departmental requirements.

Maintain records, perform annual Supplier Evaluation, and prepare summary reports for the Approved Vendor List (AVL).

Supervise purchasing activities to comply with production and food distribution standard systems (HALAL, ISO, GMP, HACCP, BRC) or other relevant standards.

Prepare summary reports to support the work of other departments, such as Finance and Accounting, and develop procurement processes to increase efficiency.

Qualifications:

  • Bachelor's degree or higher in Business Administration, Logistics and Supply Chain Management, International Business, Food Science, or other related fields.
  • More than 5 - 7 years of experience in procurement.
  • More than 2 years of experience at Senior or Supervisor level in both domestic and international procurement.
  • Must have experience in the food manufacturing and distribution industry or the FMCG business.
  • Excellent knowledge of international importing and a good understanding of accounting and financial systems related to procurement.
  • Able to use MS365 and ERP systems (e.g., SAP) for procurement and related tasks.
  • Good command of English communication.
  • Additional knowledge (Special consideration): Understanding of procurement under food industry standard systems such as HALAL, ISO, GMP, HACCP, BRC.
