In an international and professional working environment, as a Finance & Administration Specialist, you will have a broad and versatile role in which financial administration, HR support, IT coordination, and office management come together. Tasks and responsibilities:

  • Checking expense and travel reports.
  • Preparing outgoing invoices and processing incoming invoices and expenses.
  • Processing bank statements, invoices, and reports in the accounting software.
  • Performing monthly reconciliations and following up on outstanding payments.
  • Assisting with monthly reporting, VAT returns, annual audit, annual accounts, and tax documents.
  • Supporting year-end closing and updating depreciation schedules.
  • Keeping work regulations and personnel documents up to date.
  • Drafting training plans and managing individual training files.
  • Coordinating insurance updates and mobility plans.
  • Annual follow-up of leave administration and attendance planning.
  • Updating the Employee Benefits Booklet and informing employees.
  • Drafting prevention plans, performing risk analyses, and following up on reporting.
  • Coordinating fire prevention and safety procedures.
  • Organizing internal events and communication.
  • Ensuring the smooth operation of office infrastructure and equipment.
  • Maintaining contact with building management and technical services.
  • Coordinating business continuity activities.
  • Ordering office supplies.
  • Managing parking administration.
  • First point of contact for IT questions, following up on Service Now tickets and BYOD coordination.
  • Organizing laptop replacements according to cycle.
  • Bachelor's in finance, business, insurance or HR.
  • Strong analytical skills and accuracy in financial reporting.
  • Well-organized and able to work independently.
  • Dynamic personality with smooth communication skills.
  • High level of integrity and sense of responsibility.
  • Fluent knowledge of English and French; other languages are a plus.
  • Experience with financial tools such as Excel (VBA), Power BI, Python, Workiva or Bloomberg is an advantage.
  • Discretion when processing confidential information.
