Factory Administration Executive
Job Summary The Factory Administration Executive is responsible for managing and coordinating all administrative activities and support services within the factory. The role ensures the smooth and efficient operation of administrative functions, facilities, employee services, and general site services while maintaining effective cost control. The position is also responsible for preparing, monitoring, and controlling the administrative expenses budget and ensuring that all administrative activities are carried out efficiently and in accordance with company policies and procedures. Key Responsibilities Manage and coordinate all administrative activities and services within the factory.
Support the Factory Manager in all administrative and operational matters.
Prepare, monitor, and control the annual administrative expenses budget.
Monitor administrative costs and ensure expenses remain within the approved budget.
Manage and supervise the factory canteen and employee catering services.
Manage factory telephone and communication services.
Coordinate and manage IT/network-related administrative requirements and ensure smooth communication infrastructure.
Manage factory facilities, buildings, offices, and general property-related services.
Monitor and control energy consumption and related costs, including electricity, water, gas, and other utilities.
Manage insurance-related administrative matters for the factory, facilities, assets, and other company requirements.
Coordinate maintenance and service contracts related to administrative facilities and services.
Manage relationships with external service providers, contractors, suppliers, and government-related service providers when required.
Ensure that factory administrative facilities and services are maintained to appropriate standards.
Support employee welfare and general services within the factory.
Develop and implement administrative procedures to improve efficiency and reduce operating costs.
Prepare regular administrative reports, cost reports, and budget updates for management.
Identify opportunities to reduce administrative expenses without affecting the quality of services.
Ensure compliance with company policies, internal procedures, and applicable regulations.
Coordinate with HR, Finance, Procurement, IT, Maintenance, Security, and other departments on administrative matters.
Handle other administrative duties and projects assigned by the Factory Manager or senior management.
Education Bachelor's degree in Business Administration, Management, Accounting, Finance, or a related field.
Experience 3+ years of experience in administration, preferably within a manufacturing or factory environment.
Previous experience supporting a Chinese Factory Manager, Plant Manager, or senior management is highly preferred.
Experience in administrative budget management and cost control is required.
Experience managing facilities, canteen services, utilities, insurance, and external service providers is preferred.
