Job Summary

Oversee daily association management services operations and event management, including pre-event planning, execution, and post-event activities, to support client organisations and stakeholders effectively.

Responsibilities

  • Coordinate and execute daily association management services operations under the Client Services Manager’s guidance to ensure smooth service delivery
  • Manage and service client organisations and stakeholders to maintain strong relationships and meet their needs
  • Handle membership services by processing enquiries, requests, invitations, membership applications, and coordinating membership renewal drives while maintaining an accurate membership database
  • Coordinate Board, Committee, Subcommittee, and Annual General Meetings by arranging meetings, preparing meeting slides and documents, recording Minutes of Meeting, tracking attendance and quorum, and following up on action plans
  • Plan, coordinate, and manage events and training courses by liaising with venue partners, speakers, sponsors, organising committees, and catering services; manage registration, payments, event flyers, and post-event reports
  • Support sales and marketing efforts for events to maximize participation and engagement
  • Manage publications and website content by posting updates on websites and social media pages, handling public relations communications such as invitations and letters, and coordinating newsletters with external parties
  • Reconcile monthly financial statements related to payments, events, and membership renewals to ensure accurate financial records

Preferred competencies and qualifications

  • Diploma in any discipline with minimum 3 years of relevant experience, preferably in organising events and secretariat services in a professional or trade organisation
  • Proficient in MS Office applications
  • Working knowledge of social media and website design
  • Strong time management skills to multi-task and deliver quality work within deadlines
  • Meticulous project management skills to follow through on implementation plans
  • Effective problem-solving skills with a service-oriented mindset
  • Excellent interpersonal and communication skills, both written and verbal
  • Proactive, self-motivated, conscientious team player able to work independently
