Location: Hybrid - Oakville, ON (3 days/week in-office, 2 days remote) Salary: $65,000 - $75,000

Our client, an established and growing real estate company, is seeking a highly organized and detail-oriented Property Administratorto join their team! Acting as a key liaison between tenants, vendors, and internal teams, the successful candidate will help ensure smooth operations, accurate record keeping, and timely resolution of inquiries and requests. Responsibilities:

  • Serve as the primary administrative contact for tenants, vendors, contractors, and internal teams.
  • Coordinate tenant communications, notices, service requests, move-ins, move-outs, and general inquiries.
  • Maintain accurate lease files, tenant records, insurance certificates, vendor contracts, and other documentation.
  • Support lease administration activities, including tracking renewals, amendments, deposits, arrears, and critical dates.
  • Assist with invoice processing, purchase orders, expense coding, account reconciliations, and rent collection activities.
  • Support budgeting, reporting, tenant correspondence, and special projects.
  • Coordinate maintenance requests, monitor work orders, and follow up with service providers to ensure timely completion.
  • Work closely with cross-functional teams to maintain accurate records and reporting.
  • Ensure administrative processes are completed in accordance with company policies and operational standards.

Qualifications:

  • Minimum 3 years of experience in property administration, property management, or a related administrative role. Candidates must possess a strong understanding of property operations and tenant services.
  • Post-secondary education in Business Administration, Property Management, Real Estate, or a related field is preferred.
  • Strong organizational and time management skills with the ability to manage competing priorities are essential for success in this position.
  • Excellent written and verbal communication skills are required.
  • Proficiency with Microsoft Office, including Excel, Outlook, Word, and Teams is required.
  • Experience with property management software is considered an asset.
