The organization's mission is to create a major annual community event in the heart of Sherbrooke, leaving its mark on Quebec's tourism and event industry.La Fête du Lac des Nations Inc. is looking for a Finance and Administration Officer to join the FLN team!Are you meticulous, organized, and comfortable working with numbers? This position is for you if you are:Comfortable with numbers, invoicing, and financial tracking;Meticulous, organized, and detail-oriented;Able to build strong relationships with diverse clientele: suppliers, festival-goers, volunteers, agencies, partners, and others;Autonomous, versatile, and able to manage multiple priorities;Available and comfortable with the fast pace of the events industry, especially during the festival.By joining the FLN, you will make a tangible contribution to the administrative and financial management of one of the region's largest festivals!TASKS & RESPONSIBILITIESFinance and AccountingMonitor accounts payable and receivable.Perform various accounting tasks and track expenses and revenues.Invoice partners, kiosks, suppliers, and other clients.Process payments to artists and other suppliers.Manage credit card and payment terminal transactions.Maintain a thorough understanding of budget items and contribute to budget monitoring.Collaborate in audit preparation and financial documentation.Participate in the creation and improvement of administrative and financial procedures.Administration and Support for OperationsEnsure compliance with established work methods and procedures.Manage general emails, out-of-office messages, and telephone communications according to the season.Provide secretarial support, reception duties, and message taking.Filing and archiving documents.Attend to the day-to-day needs of the office.Maintain up-to-date lists related to grants and other discretionary programs.Monitor insurance related to the event.Ticketing and Festival Attendee ServicesBe the first point of contact for festival attendees and provide courteous and efficient service.Answer questions and assist customers with their Purchases.Advise festival-goers to offer them the packages best suited to their needs.Perform basic ticketing operations and develop a good understanding of the platform.Volunteers and Event OperationsParticipate in the preparation of volunteer recruitment.Carry out administrative follow-ups related to volunteers prior to the event.Contribute to the preparation of setup and teardown schedules.Collaborate with the various teams to ensure the smooth running of operations.PROFESSIONAL QUALIFICATIONSCollege or vocational training in office administration or any other training or experience relevant to the position and Responsibilities.Minimum of 2 years of experience (in the events or non-profit sector) - an asset.Excellent oral and written communication skills in French.Fluency in oral and written communication in English.Proficiency in MS Office suite software, particularly Excel.Knowledge of accounting software (Dext and QuickBooks) - an asset.Knowledge of the festival, events, or project management industry - an asset.
