Responsibilities and assignments

  • Monitor shipments starting from the receipt of commercial instructions via the system.
  • Analyze process information, verifying special instructions, origin, and destination of the cargo.
  • Return requests to the Commercial team when incomplete information is identified.
  • Generate operational documentation in PDF through the system and send it to the origin agent.
  • Act as an interface between origin and the client, monitoring information related to cargo readiness, collection, shipment, and value review.
  • Contact the exporter to align operational stages and update shipment forecasts.
  • Inform arrival forecasts at origin to pass information on to the client.
  • Receive the BL (Bill of Lading) and perform verification of client information and values recorded in the system.
  • Forward the HBL and MBL to the client for validation and coordinate any documentary corrections.
  • Verify the release location of the original documents of the process.
  • Confirm shipment departure with the client and arrange the sending of the original BL.
  • Update the system and send the pre-alert to the responsible internal team.
  • Maintain constant communication with clients via email and telephone service.
  • Send original documents for registration with the insurer when insurance is contracted.
  • Keep corporate systems updated at all stages of the process.
  • Participate in meetings with clients for operational alignment and shipment monitoring.
  • Resolve low-complexity operational occurrences and follow up on the handling of more complex cases with the responsible areas.
  • Monitor the progress of processes, ensuring the adequate flow of operations and compliance with established deadlines.

Requirements and qualifications

  • Completed Higher Education.
  • Advanced English.
  • Desirable advanced Spanish.
  • Experience with corporate systems.
  • Experience in the use and configuration of rules in Outlook.
  • Experience in analyzing the main import documents, focusing on BL (Bill of Lading) and Mercante.
  • Experience in medium-complexity customer service.
  • Experience in freight forwarding.
  • Intermediate level knowledge of Excel.
  • Knowledge of maritime import processes and operational shipment flow.
  • Ability for documentary analysis, deadline control, and process monitoring.
  • Ability for relationship building with clients, international agents, and internal areas.
