Venue Administrator
Job Description The Venue Administrator is responsible for supporting the day-to-day administrative and operational activities of the venue. This role ensures that bookings, schedules, documents, payments, and communication are well organized and properly coordinated with clients, vendors, and the operational team.
Key Responsibilities Manage daily administrative tasks and ensure all venue-related documentation is properly maintained.
Coordinate and maintain venue bookings, event schedules, and calendars.
Prepare and organize quotations, invoices, contracts, purchase orders, and other administrative documents.
Maintain accurate records of clients, bookings, payments, vendors, and event-related information.
Coordinate with clients regarding bookings, schedules, requirements, and event arrangements.
Communicate and coordinate with vendors, suppliers, and internal operational teams.
Assist with event preparation by ensuring that all administrative and operational requirements are properly documented and communicated.
Monitor payment status, deposits, invoices, and petty cash records.
Prepare regular administrative and operational reports for management.
Handle filing, data entry, correspondence, and other general administrative duties.
Support the venue management team with scheduling, coordination, and other operational matters as required.
Ensure that venue policies, procedures, and administrative processes are followed.
Assist in resolving administrative or scheduling issues that may arise during venue operations.
Perform other duties and responsibilities as assigned by the management.
