Reporting to the Supervisor, Mental Health and Wellness, the Administrative Assistant, WeConnect is responsible for providing administrative support to the WeConnect Mental Health and Wellness Program.
Responsibilities include but not limited to:
*Administration*
- Consolidates client group attendance monthly in CCD database for statistical purposes;
- Completes all administration post-assessment to schedule clients in their selected services;
- Processes monthly registration requests to register clients for their selected services;
- Discharges WeConnect clients upon completion of their service;
- Manages group email reminders for active clients;
- Supports the submission and release of all media for programming (newsletter, flyers, registration form, etc.);
- Maintains accurate documentation for WeConnect meetings;
*Client Support*
- Answers phone and directs calls accordingly;
- Manages the WeConnect main inbox and responds to general inquiries, or directs communication to the appropriate staff member;
- Contacts clients to advise of group changes or cancellations;
- Provides technical support to clients as needed for accessing their virtual groups;
- Prepares letters for clients as requested
*Program Support*
- Sends program emails/mail and maintains active client distribution list;
- Formats program documents and prepares document templates;
- Completes additional duties as assigned by Program Manager and Supervisor.
*Qualifications required:*
- Post-secondary education in Business/Office Administration, Mental Health, Psychology, or related?field
- Administrative and customer service experience is an asset
- Strong interpersonal skills
- Strong written and verbal communication skills
- Detail oriented and highly organized
- Exhibits a high level of initiative, self-motivation, and problem-solving skills
- Flexibility to handle changing priorities and different tasks
- Ability to handle sensitive information with discretion and maintain confidentiality
- Must be able to work independently and as part of a team
- Intermediate to advances knowledge and experience with Microsoft Office (Excel, Outlook, Work, PowerPoint, etc.), and Adobe Acrobat
- Sensitivity to the needs of the vulnerable population with disabilities, including challenges in cognition??
- Clear Vulnerable Sector Police Check completed within the past 6 months
- Must work in a safe manner and promote the health and safety of all staff, volunteers, clients and the community as outlined within CCD policies
*Compensation and Benefits:* $39,000 annually;
- Three (3) weeks? vacation per year of work (pro-rated to hours worked);
- Six (6) paid sick days per year of work (pro-rated to hours worked);
- Nine (9) paid (including stat) holidays;
- Three (3) float days (when eligible);
- Health, dental, life insurance, and pension benefits when eligible.

*Subject to change, CCD staff may be required to work anywhere throughout the Durham Region
*Hours of Work: *Monday to Friday from 8:30am ? 4:30pm (35 hours/per week)
