Role Overview
We are looking for a detailed, organised, and proactive Operations & Customer Service Executive to manage our daily customer bookings and fleet dispatch. In this role, you will act as the vital link between our clients, corporate partners, and our team of professional drivers. The ideal candidate possesses excellent communication skills, a calm approach to problem-solving, and a keen eye for logistical efficiency.
Key Responsibilities
Customer Inquiries & Booking Management: Respond promptly and professionally to inbound emails, phone calls, and corporate transfer inquiries.Draft accurate and friendly cost breakdowns, trip quotations, and booking invoices for clients (including calculating peak hour/holiday surcharges, GST, and billable extras).
Fleet Scheduling & Dispatch Operations: Plan, assign, and optimize daily routes and shift schedules for our vehicle fleet and team of drivers.Coordinate efficiently with both full-time and freelance drivers to ensure on-time execution.Monitor live operations and step in to handle real-time logistical changes, cancellations, or traffic delays.
Administrative & System Support: Maintain accurate digital logs of all bookings, operational files, and driver dispatch records via our cloud-based booking systems.Coordinate fleet maintenance updates, driver operational requirements, and vehicle statuses.
Requirements
- Experience: Prior experience in customer service administration, logistics, fleet operations, or a fast-paced land transport coordination role is highly preferred.
- Communication: Strong command of spoken and written English to correspond professionally with corporate clients. Fluency in spoken Mandarin is required to communicate effectively, handle inquiries, and coordinate schedules with Mandarin-speaking drivers, contractors, and regional clients.
- Technical Skills: Proficient in basic office applications (Google Workspace, Microsoft Excel/Word) and comfortable learning digital booking and dispatch platforms.
- Attributes: Exceptional organisational skills, multi-tasking capability under pressure, and a strong problem-solving mindset.
- Availability: Ability to support operational needs during peak periods (e.g., public holidays or major festive seasons) if required.
