Document Controller (FPG)
About the role The Document Controller plays a key role in supporting the establishment, implementation, maintenance, and continual improvement of the Partner Management System and operational documentation framework. The role is responsible for coordinating document control processes, ensuring effective governance of documented information, supporting compliance with management system requirements, and maintaining operational documentation, records, and related management system activities across the business. Working closely with process owners and stakeholders, the incumbent will ensure that documentation is accurate, current, controlled, and aligned with organisational requirements, operational needs, and recognised management system principles. Key responsibilities Provide policy, procedure, process map and document development, review and maintenance services including document formatting and quality review
Ensure CMS documentation is adequately controlled and maintained in line with City and Partner document and record control requirements
Ensure suitable owners are assigned to all CMS documentation
Ensure CMS documentation is approved and published (with appropriate metadata) to the City Point Information Centre or approved team sites
Ensure all CMS documentation undergoes prescribed review cycles
Develop and maintain document control and records management processes covering the full scope of company activities
Identify and implement opportunities to improve document and records control efficiency and effectiveness
Support audits, inspections, and compliance reviews as required
Track and follow up on corrective actions and improvement initiatives arising from audits, reviews, inspections, and operational activities
Provide oversight of functional team sites to ensure document control requirements are followed
About you At least 3 years experience in a similar role
Detailed understanding of document control / knowledge management requirements, processes and systems (e.g. Version control, document tracking, SharePoint, etc.)
Working experience with a range of Microsoft products (e.g. Microsoft Office, Visio, SharePoint, Teams, etc.), including advanced MS Word skills
Strong written skills gained developing and/or reviewing policies, processes and instructional documentation
Strong attention to detail
Demonstrated time management and organisational skills
Effective interpersonal skills to deal with stakeholders across City
Ability to work as a team player
A tertiary qualification in business or related discipline (preferred)
Technical writing ability (preferable)
