Job Responsibilities Assist the Contracts Manager / Head of Contracts in the day-to-day administration and operation of the Contracts Department.

Assist in the preparation, compilation and submission of tenders, quotations and contractual documents.

Review and maintain contracts, subcontract agreements, purchase orders, quotations, letters and other commercial documentation.

Source and obtain quotations from subcontractors and suppliers and assist in preparing quotation and cost comparison sheets.

Assist in tender pricing, cost estimation and preparation of tender documentation.

Assist in preparing and administering subcontractor appointment documents, work orders and purchase orders.

Assist in the preparation, checking and compilation of progress claims, variation claims and other payment-related documents.

Assist in evaluating subcontractor and supplier claims and verify supporting documents where required.

Maintain and update tender registers, contract registers, variation order registers, claims records and other commercial records.

Monitor tender closing dates, contractual submission deadlines and outstanding commercial documentation.

Coordinate with project teams, procurement, finance, subcontractors and suppliers on contractual and commercial matters.

Assist in preparing variation orders, cost breakdowns, quotations and supporting documents.

Assist in monitoring project costs, contractual commitments and relevant commercial records.

Review quantities, quotations, supporting records and contractual documents for completeness and accuracy.

Assist in preparing reports, schedules, letters, meeting records and other correspondence relating to contracts, tenders and commercial matters.

Maintain proper electronic and physical filing of contracts, tenders, quotations, claims, variation orders and related documentation.

Assist in reviewing Chinese-language contracts, quotations, commercial correspondence and supporting documents where required.

Liaise with Chinese-speaking contractors, suppliers and internal stakeholders on contract, tender and commercial documentation.

Assist with translation and interpretation of Chinese-language contractual and commercial documents where necessary.

Perform other quantity surveying, contract administration and commercial duties assigned by the Contracts Manager / Head of Contracts.

Job Requirements Degree or Diploma in Quantity Surveying, Construction Management, Building, Civil Engineering, Contract Management or a related discipline.

Relevant experience in quantity surveying, construction contracts, tendering, contract administration or commercial management.

Experience in the construction industry is preferred.

Familiar with construction tenders, quotations, subcontract agreements, progress claims, variation orders and commercial documentation.

Able to perform basic cost comparison, quotation evaluation and contract administration.

Good numerical, analytical and organizational skills.

Able to maintain accurate contractual, tender and commercial records.

Proficient in Microsoft Office, particularly Microsoft Excel and Word.

Good written and verbal communication skills.

Proficiency in Mandarin and written Chinese is required as the role involves reviewing and handling Chinese-language contracts, quotations and commercial correspondence, as well as communicating with Chinese-speaking stakeholders.

Able to work independently and coordinate effectively with project, procurement, finance and site teams.

Detail-oriented and able to manage multiple tenders, submissions and deadlines.
