Our client is a well-established and highly regarded accountancy practice based in Cheltenham. They are seeking a professional, organised, and proactive Secretary & Office Manager to provide essential administrative support to the wider team & Management. This role is integral to ensuring the smooth day-to-day running of the office while delivering a first-class experience for clients and colleagues alike. The ideal candidate will have a good working knowladge of the Accountancy sector, this is vital for the day to day operations of the role.

Duties to include ( but not limited to ) :

  • Audio typing and preparation of correspondence, reports, and client documentation.
  • Acting as a first point of contact for clients, handling telephone and email enquiries professionally and efficiently.
  • Managing diaries, appointments, and meeting schedules for partners and staff.
  • Maintaining accurate filing systems, client records, and document management processes.
  • Assisting with general administrative duties, including data entry and document preparation.
  • Welcoming clients and visitors, ensuring a professional and positive office experience.
  • Managing incoming and outgoing post, emails, and general correspondence.
  • Providing administrative support to accountants and senior team members across the practice.
  • Ensuring all client information is handled confidentially and in accordance with firm procedures.
  • Supporting the efficient operation of the office through effective organisation and prioritisation of tasks.

Skills:

  • Previous experience in a Secretary, Administrative Assistant, Practice Administrator, or similar office support role in the Accountancy sector.
  • Strong audio typing skills with excellent accuracy and attention to detail.
  • Exceptional organisational skills with the ability to manage multiple priorities effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Professional, personable, and client-focused approach.
  • High levels of accuracy and attention to detail.
  • Ability to work both independently and collaboratively within a team environment.
  • Experience gained within an accountancy practice, professional services, legal, or financial services environment would be advantageous.
