Reporting to the Program Manager, the Specialist supports the organization?s mission by engaging clients and families with empathy and professionalism through challenging intake and navigation processes, ensuring information is gathered accurately to support timely and appropriate service provision. It provides operational and communications support across programs by developing resources, surveys, reports, training tools, and agency wide communications that strengthen service delivery, accountability, and evidence-based decision making. In addition, the role contributes to organizational sustainability and community presence through fundraising, grant development, donor stewardship, and community engagement activities, including leadership within fund development strategy and coordination of signature fundraising initiatives. Through cross department collaboration, technical expertise, and community partnership development, the role enhances client experience, operational efficiency, organizational compliance, and long-term funding and engagement outcomes.

*Under the supervision of Program Manager and with direction from the Team Lead, key accountabilities include:*

• Utilize the Client Database Manager (CDM) and the Central Navigation Program Process flows to interact respectfully and timely with Clients and families and collect the appropriate information to complete their Central Intact Questionnaire and set up their Electronic Client Record (ECR) including Staff Risk Alerts and Address Book Setup with a high level of accuracy and detail.
• Utilize the Client Database Manager (CDM), CRM, and Passport Non- Financial DSCIS (Developmental Services Consolidation Information System) to complete the Passport intake and onboarding process, collecting required financial, demographic, and Person Managing Funds (PMF) information, and preparing Service Agreements and related documentation for signing via RightSignature.
• Advocate for clients and families by connecting them to relevant community resources and collaborating with Service Coordinators to triage complex cases, prioritize service waitlists, and support a seamless transition into Canopy Services.
• Prepare and send Central Intake Clients a Canopy welcome package that includes all standardized welcome documents (Privacy & Consent, Mission & Vision, Abuse Policy, etc.) as well as any relevant community resources and a link to the Central Intake Feedback survey to ensure excellence in Customer Service.
• Process Client Update Form submissions from agency programs to accurately record program start, discontinuation, and discharge information, supporting data integrity for data driven decision making and Ministry reporting. Conduct Electronic Client Record audits to verify consent, authentication, and record completeness in accordance with program specific requirements and update DSO via DSCIS where applicable.
• Develop a range of resources?including tip sheets, visual reports, Microsoft Forms, presentations, and instructional videos?to support client and staff learning, streamline processes, and enhance program communication. Ensure materials are accurate, accessible, and aligned with organizational standards (branded, AODA compliant).
• Design, distribute, and monitor agency/program surveys (such as Social Validity) through Microsoft Forms to ensure consistent, compliant collection of service?user feedback in accordance with FOCUS quality standards. Analyze results annually and complete a comprehensive trend analysis every two years to identify emerging needs, support evidence?based decision?making, and strengthen organizational accountability.
