The HR & Executive Assistant provides administrative and operational support to the Human Resources department while also delivering high-quality executive assistance to the local management team. The role ensures efficient HR service delivery across recruitment, onboarding, employee records management, payroll coordination, employee relations, training administration, and compliance, while supporting agenda management, meeting coordination, correspondence, travel arrangements, and confidential administrative follow-up for senior stakeholders.
Your role and responsibilities
Recruitment & Onboarding
Support end-to-end recruitment activities, including job posting, candidate screening, interview scheduling, and communication with applicants. Prepare employment contracts and onboarding documentation. Coordinate new employee onboarding and induction programs. Maintain candidate and recruitment records.
Employee Administration
Maintain accurate employee files and HR databases. Process employee status changes, including promotions, transfers, and terminations. Prepare HR letters, certificates, and employment verification documents. Monitor probation periods and support confirmation processes.
Payroll & Benefits Support
Collect and validate payroll-related information. Coordinate with payroll providers or finance teams to ensure accurate salary processing. Support administration of employee benefits, insurance, and leave programs. Maintain attendance and leave management records.
Executive Assistance & Office Coordination
Manage calendars, schedule meetings, organize appointments, and anticipate agenda conflicts for senior managers. Prepare meeting agendas, background materials, presentations, minutes, and follow-up action trackers. Coordinate business travel, accommodation, logistics, visitor arrangements, and related administrative documentation. Draft, proofread, format, and archive confidential correspondence, memos, reports, and internal communications. Support office coordination, supplier follow-up, administrative filing, purchase requests, and expense documentation.
Employee Relations
Serve as the first point of contact for routine employee HR inquiries. Support employee engagement initiatives and internal communication activities. Assist in resolving employee concerns while maintaining confidentiality. Promote adherence to company policies and procedures.
Learning & Development
Coordinate training logistics, registrations, and attendance records. Monitor training completion and maintain development records. Support performance management processes and documentation.
Compliance & Reporting
Ensure employee records comply with company standards and legal requirements. Support HR audits and compliance activities. Generate HR reports and workforce analytics as required. Maintain confidentiality of employee information at all times.
Education
Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field.
Experience
1 to 3 years of experience in an HR administrative or HR assistant role Experience working in a multinational or Telecom, media/entertainment environment is an advantage.
Skills & Competencies
Knowledge of HR processes and employment legislation. Strong organizational and administrative skills. Excellent communication and interpersonal abilities. Attention to detail and high level of accuracy. Excellent calendar management, meeting coordination, minute-taking, and follow-up tracking capabilities. Ability to handle confidential information professionally. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook). Ability to prepare clear executive-level documents, presentations, reports, and written communications. Experience with HR Information Systems (HRIS) is an advantage. Strong problem-solving and multitasking skills.

Timely completion of recruitment and onboarding activities. Accuracy of employee records and HR documentation. Payroll data submission accuracy. Employee query response time. Compliance with HR policies and audit requirements. Training coordination effectiveness and record maintenance. Quality and timeliness of executive calendar management, meeting preparation, and action follow-up. Accuracy and confidentiality of executive correspondence, travel arrangements, administrative files, and expense documentation.
