Job Description
Responsible for overseeing the company's day-to-day business operations, administration and coordination of construction projects. The role will support management in ensuring efficient company operations, manpower coordination, customer and supplier management, documentation and compliance.
Job Roles & Responsibilities
- Oversee the overall day-to-day operations and administration of the company.
- Plan, coordinate and monitor company operational activities.
- Coordinate construction projects with project managers, supervisors and site teams.
- Manage administrative staff and support the allocation of manpower to projects.
- Monitor project schedules, work progress and operational requirements.
- Review quotations, purchase orders, invoices, claims and other business documents.
- Coordinate with customers, suppliers, subcontractors and business partners.
- Monitor company expenses, purchasing and operational costs.
- Oversee HR administrative matters, employee documentation and attendance records.
- Assist management with recruitment and manpower planning.
- Ensure company records, contracts and project documentation are properly maintained.
- Coordinate with relevant authorities and external parties regarding company administrative and compliance matters.
- Handle customer enquiries, complaints and follow-up matters.
- Prepare management reports and provide operational updates to the Managing Director.
- Develop and implement procedures to improve operational efficiency.
- Support business development and maintain relationships with existing customers.
- Perform other managerial duties necessary for the company's operations.
Requirements
- Diploma/Degree in Business Administration, Management, Human Resources, Accounting or a related discipline is preferred.
- Relevant experience in administration, business operations or management.
- Previous experience in the construction/engineering industry is an advantage.
- Experience coordinating staff, customers, suppliers and subcontractors.
- Knowledge of quotations, purchase orders, invoices, claims and general company documentation.
- Good organisational, communication and leadership skills.
- Able to manage multiple projects and administrative responsibilities.
- Proficient in Microsoft Office and general business administration systems.
- Able to work independently and report directly to senior management.
