Medical Administrator
/ Patient Coordinator - Aesthetics Clinic Location: Central London - Site Based (On-Site) Working Hours: Monday to Friday, 9:00 AM to 6:00 PM (no weekend working) 1 WFH day after probation Salary: £30,000 - £35,000 per annum (dependent on experience)
About the Role A busy aesthetics clinic is looking for a Medical Administrator to join their patient-facing admin team. This is not a front-of-house role - front desk cover is already in place - the focus is on managing patient communication and admin behind the scenes, particularly following up with patients by telephone after they have received correspondence. It is a busy environment, so resilience and the ability to stay organised under pressure are essential.
Key Responsibilities Patient Communication & Follow-Up Answering incoming calls and handling patient bookings. Following up with patients after letters, emails, or previous calls to check they have received information, answer questions, and arrange next steps - this is a proactive, outbound-calling part of the role, but it is not sales-driven. Managing patient correspondence via email and telephone, responding to queries and booking requests. Labs & External Liaison Liaising with labs and external providers, including arranging and chasing x-rays and results. Clinical Support General administrative support for the clinical team.
What We are Looking For Previous experience in a clinic, aesthetic, or medical administration setting is preferred. Familiarity with aesthetic/cosmetic procedures is a strong plus (understanding what a liposuction or blepharoplasty is, for example) - training can be provided if not. A confident, "impeccable" telephone manner - comfortable picking up the telephone and calling patients, not afraid of the telephone. Calm under pressure and able to work in a busy, high-energy environment. No requirement for front-of-house/reception experience, as this is covered separately by the existing team.
Additional Information Full-time, on-site role. Standard hours are Monday to Friday, 9am-6pm - no Saturday working required. Flexibility to work from home one day a week may be considered after a successful probation period, based on performance and trust.
This post is subject to the Rehabilitation of Offenders Act 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
