Job Responsibilities
- Assist with the day-to-day administration of procurement activities, supporting the wider procurement team.
- Help raise, process, and track purchase orders in line with internal procedures.
- Support supplier on boarding and maintenance of supplier records, ensuring information is accurate and up to date.
- Collect and review documentation to support procurement processes, maintaining clear audit trails.
- Monitor procurement requests and help ensure timely progression through the approval workflow.
- Coordinate with internal stakeholders to gather information needed for quotes, orders, and supplier communications.
- Maintain procurement filing systems and ensure records are stored correctly and securely.
- Support basic spend tracking and reporting by collating data and updating relevant trackers.
- Respond to routine queries from suppliers and colleagues in a professional and timely manner.
Required Skills & Qualifications
- Strong attention to detail with the ability to work accurately with numbers and documentation.
- Good organisational skills, with the ability to manage multiple tasks and meet deadlines.
- Clear communication skills, able to liaise professionally with internal teams and suppliers.
- Basic understanding of procurement processes and purchasing administration (training will be supported).
- Competent IT skills, including working knowledge of Microsoft Excel and Microsoft Outlook.
- Experience using administrative systems or databases to record and track information (or strong aptitude to learn quickly).
- Good literacy and numeracy skills, with the ability to interpret and check documentation.
- GCSEs (or equivalent) in English and Maths are desirable.
- Relevant procurement or business administration experience is beneficial, though not essential for the right candidate.
