Responsibilities:

Reception & Visitor Management:

Welcome and attend to visitors, clients, guests, and other stakeholders professionally and courteously. Determine the purpose of visitors’ visits and direct them to the appropriate person or department. Maintain a professional, friendly, and welcoming reception environment. Notify relevant staff when visitors arrive for scheduled or unscheduled appointments. Maintain appropriate visitor records where required. Ensure visitors receive accurate and helpful information about the office.

Telephone & Communication Management:

Answer incoming telephone calls promptly and professionally. Direct calls to the appropriate staff members or departments. Take accurate messages and ensure they are communicated to the appropriate recipients. Respond to general enquiries professionally and provide relevant information within the scope of the role. Monitor and respond to general office emails where required. Escalate enquiries requiring specialized assistance to the appropriate staff member.

Appointment & Calendar Management:

Schedule and coordinate appointments, meetings, and visitors. Maintain an organized office calendar. Confirm appointments and communicate changes to relevant staff and visitors. Assist with meeting room scheduling and preparation. Ensure important appointments and meetings are properly recorded and communicated.

Correspondence & Document Handling:

Receive, sort, and distribute incoming correspondence, letters, documents, and deliveries. Prepare outgoing correspondence and documents where required. Maintain proper records of received and dispatched documents. Ensure important documents and packages are delivered to the appropriate recipients promptly. Assist with basic document preparation, printing, scanning, photocopying, and filing.

Office Administration:

Provide general administrative and clerical support to the office. Assist with maintaining organized office records and files. Support staff with basic administrative tasks when required. Monitor basic office supplies and notify the appropriate personnel when replenishment is required. Assist in maintaining an orderly and functional reception and office environment. Support general office coordination and administrative activities.

Recordkeeping & Filing:

Maintain accurate administrative records.

Organize physical and electronic documents appropriately. Assist with data entry and basic documentation. Ensure files are properly labeled, stored, and easily accessible. Maintain confidentiality when handling company, client, or staff information.

Customer Service:

Provide professional and courteous assistance to clients and visitors. Handle basic enquiries and complaints calmly and professionally. Ensure clients and visitors receive appropriate assistance or are directed to the relevant personnel. Maintain a positive customer experience at the front desk. Represent the company professionally in all interactions.

Office Coordination:

Coordinate with various departments to facilitate smooth communication. Assist with preparation for meetings and appointments. Support administrative arrangements for visitors and company activities. Communicate relevant information promptly to appropriate team members. Assist management and other staff with routine administrative tasks when required.

Requirements:

Bachelor’s degree, HND, or OND in Business Administration, Office Administration, or a related field. 1–2 years of experience in a front desk, receptionist, customer service, or administrative role. Excellent verbal and written communication skills. Strong interpersonal and customer-service skills. Proficiency in Microsoft Word and Excel. Familiarity with Microsoft Outlook or other email and calendar management tools. Professional appearance and manner. Strong organizational and time-management skills. Ability to multitask and prioritize responsibilities. Strong attention to detail. Ability to work effectively in a fast-paced office environment. Female candidates are preferred. Candidates should preferably reside in Abuja, FCT. Preferred age: 23–30 years.
