Key Responsibilities:

Curriculum & Academic Administration

  • Manage the approval process for curriculum changes and new course proposals for undergraduate programmes
  • Ensure curriculum submissions are complete, properly endorsed, and routed according to approval protocols
  • Advise Schools and relevant stakeholders on curriculum approval requirements, approving authorities, submission timelines, and documentation requirements
  • Follow up on discrepancies, risks, incomplete submissions, and missing information
  • Manage and update programme information, curriculum requirements, course details, academic unit requirements, prerequisites, and restrictions in academic systems

Programme & Student Academic Records

  • Oversee the collation, verification, and publication of academic unit requirements for programmes and the University website
  • Administer student enrolment records for specializations and academic pathways, including minors, second majors, and work-study degree pathways
  • Coordinate exception cases and outstanding academic administration matters with internal teams
  • Support system configuration relating to the award of specialisations and pathways at graduation
  • Maintain accurate application records, outcomes, and relevant student academic information

System Enhancement & Process Improvement

  • Support Management System development and enhancement initiatives
  • Contribute to process improvement and University-level projects assigned by the Office of Academic Services
  • Review business specifications and prepare test scenarios for system enhancements
  • Assist with system testing and coordinate with relevant stakeholders to ensure requirements are properly implemented
  • Identify operational issues and support improvements to academic administration processes and systems

Academic Governance & Stakeholder Support

  • Support the effective administration of undergraduate curriculum, programme, course, and student academic records
  • Ensure academic information is accurate, complete, and maintained in accordance with established policies and procedures
  • Work closely with Schools, internal teams, and relevant stakeholders on academic administration matters
  • Exercise sound judgement when handling discrepancies, documentation gaps, exception cases, and non-standard requests
  • Contribute to academic governance and the effective implementation of University academic policies and processes

Requirements:

  • Diploma or Bachelor’s Degree in any discipline
  • At least 3 years of experience in academic services, student services, programme administration, or related administrative functions
  • Experience in a tertiary education environment is preferred
  • Strong organisational skills with excellent attention to detail when maintaining records and academic information
  • Strong analytical and critical thinking skills with sound judgement in handling discrepancies and non-standard cases
  • Good stakeholder management and interpersonal skills, with the ability to work effectively with Schools, internal teams, and relevant stakeholders
  • Proficient in managing administrative processes, documentation, and academic records
