Inventory/Warehouse Officer
Responsibilities:
Inventory Control & Monitoring:
Track and record daily stock movements, including receipts, dispatches, transfers, and returns. Maintain the integrity of the Inventory Management System (IMS) or ERP software by ensuring real-time data entry. Implement inventory control protocols to minimize stock shrinkage, damage, and obsolescence. Monitor minimum and maximum stock thresholds to trigger timely reorder alerts.
Auditing & Reconciliation:
Schedule, organize, and lead regular physical stock counts, including weekly cycle counts and monthly wall-to-wall audits. Compare physical counts against system records to identify variances in quantity or valuation. Investigate the root causes of inventory discrepancies (e.g., system errors, theft, mislabeling) and implement corrective actions. Prepare reconciliation reports for management approval to adjust system balances.
Receiving & Quality Assurance:
Inspect incoming shipments from suppliers to verify quantities against Purchase Orders (POs) and Delivery Notes. Assess the quality of received goods, flag damaged or sub-standard items, and manage the vendor return process. Oversee the safe unloading, labeling, and organized storage of newly arrived inventory.
Reporting & Data Analysis:
Generate weekly and monthly inventory status reports highlighting stock levels, fast-moving items, and slow-moving or dead stock. Analyze inventory turnover ratios to help management optimize working capital. Assist in calculating the total value of ending inventory for financial reporting periods.
Requirements:
A minimum of 2 years of experience A minimum of a degree in a related field
