The position:
We are looking for a male/female Assistant Facilities Management responsible for ensuring the administrative support of the Facilities department and the coordination of employees, suppliers, and service providers operating on an industrial site.
Organize the integration of new employees and subcontractors: creation of accounts, badges, access, IT equipment, and clearances.
Ensure the administrative follow-up of suppliers and service providers: certificates, regulatory training, FCO statuses, badges, and access authorizations.
Manage orders, quotes, contracts, and invoices, ensuring follow-up on validations and collaborating with the Accounting and Purchasing departments.
Follow up on the HR administrative elements of employees: clock-ins, leave, RTT, expense reports, night/Sunday work, on-call duties, and medical visits.
Coordinate meetings, training, internal communications, office supplies, as well as the department's mail and shipments.
Handle administrative requests and anomalies in connection with internal teams, suppliers, and various departments.
Profile sought:
Master office tools and be comfortable with IT tools and management software. Possess experience in administrative assistance, ideally in a technical, industrial, logistics, or Facility Management environment. Demonstrate excellent organizational skills, rigor, and priority management. Know how to coordinate multiple interlocutors and simultaneously manage different files while respecting deadlines. Master professional English, both written and spoken.
