Administrative Coordinator
Job Summary We are looking for a highly organized and detail-oriented Admin Coordinator to support the day-to-day administrative operations of the company. The role will be responsible for coordinating office activities, maintaining accurate records, supporting internal teams, and ensuring that administrative tasks are completed efficiently and on time. The ideal candidate is proactive, organized, detail-oriented, and able to manage multiple priorities in a fast-paced work environment. Key Responsibilities Administrative Operations Coordinate daily administrative activities and ensure smooth office operations.
Handle incoming calls, correspondence, emails, and administrative requests.
Prepare and organize documents, reports, forms, and presentations as required.
Maintain accurate and up-to-date administrative records and filing systems.
Coordinate meetings, appointments, visitors, and internal events when required.
Monitor office supplies and coordinate replenishment when needed.
Coordination & Communication Coordinate with internal departments to follow up on administrative requests and requirements.
Act as a point of contact between employees, suppliers, and external service providers.
Follow up on pending tasks and ensure deadlines are met.
Communicate administrative updates and requirements clearly to relevant stakeholders.
Procurement & Vendor Support Assist with purchasing office supplies, equipment, and administrative requirements.
Coordinate with suppliers and service providers regarding quotations, orders, deliveries, and invoices.
Maintain records of suppliers, quotations, purchase requests, and related documentation.
Support the administration team in monitoring service quality and resolving routine vendor issues.
Facilities & Office Support Support day-to-day office and facility requirements.
Coordinate maintenance, cleaning, security, and other office-related services.
Report and follow up on office maintenance or facility issues.
Ensure that common areas and office resources are properly maintained.
Documentation & Reporting Prepare regular administrative reports and trackers.
Maintain confidential employee and company documents as required.
Ensure proper organization and retention of administrative records.
Support management with administrative data and reports when requested.
Job Requirements Bachelor’s degree in Business Administration, Management, or a related field .
1–3 years of experience in administration, office coordination, or a similar role.
Strong organizational and time-management skills.
Excellent communication and interpersonal skills.
Good command of Microsoft Office , particularly Excel, Word, and PowerPoint.
Good written and verbal English communication skills.
Ability to manage multiple tasks and work effectively under deadlines.
Strong attention to detail and follow-up skills.
Professional attitude with good problem-solving and coordination abilities.
Preferred Qualifications Experience working with an ERP or HR system is an advantage.
