Senior/Operations Coordinator
Key responsibilities 1. Team leadership • Assign and prioritise daily work for OA-Scheduling and OA-Logistics, and keep a cross-cover rota so every task has a backup. • Check the team's output daily before it goes to the Senior OE. • Act as the bridge between the Senior OE, site supervisors and the admin team. 2. Deployment and attendance administration • Submit the daily manpower deployment sheet to the Senior OE for approval by the agreed cut-off. • Execute pre-approved same-day relief and inform the Senior OE. • Compile attendance, MC, AL, no-show and overtime records, and highlight sites without a cleaner or needing relief. • Track lateness and warning-letter records and flag repeat cases. • Prepare data packs for hiring, termination and re-deployment decisions. 3. Manpower and compliance administration • Maintain the cleaner database (Work Permit expiry, passport, security pass, dormitory, insurance) with alerts at 60 and 30 days before expiry. • Prepare MOM documents: levy, IPA, insurance and the onboarding checklist for new cleaners. • Handle onboarding and offboarding administration, and keep records of transfers, resignations and new deployments. • Keep employee and client information confidential. • Ensure/apply PTW is available before job commencement. 4. SOP and documentation control • Draft/drive SOPs under the Senior OE's guidance, following the standards set by Corporate. Daily cleaning: retail, office, toilet. Support: chemical handling, machine use, key handling, MC/no-show process, site handover/takeover. • Maintain the master SOP file
- Diploma in Business Administration, Operations
Management, HR or a related field
- 3–5 years of administrative or operations support experience
- At least 1 year supervising or leading staff
- Strong Excel (lookups, pivot tables) and Word
- Experience with document control or SOP writing
- Meticulous, organised, and able to handle confidential information
